Job SummaryThe Medical Receptionist / Administrator will provide a high-quality, professional and patient-focused reception and administrative service. The post holder will act as a key point of contact for patients, clinicians and external services, supporting safe patient access and the efficient day-to-day running of the practice. The role requires excellent communication skills, the ability to manage competing priorities, and a commitment to confidentiality, accuracy and teamwork within a busy general practice environment.
KeyDuties and Responsibilities
- Act as the first point of contact for patients attending or contacting the practice
- Answer incoming telephone calls in a courteous and efficient manner
- Support patients with appointment booking and access to appropriate services
- Navigate patients through the practices triage and appointment systems
- Deal with patient queries and requests sensitively and professionally
- Register new patients and update patient demographic details accurately
- Receive and manage requests for prescriptions, sick notes and test results in line with practice protocols
- Process incoming and outgoing clinical correspondence
- Scan, code and file documents accurately on the clinical system
- Support clinicians with administrative tasks as required
- Manage workflow tasks and ensure timely action
- Maintain accurate and up-to-date patient records
- Support recalls, audits and patient communications when required
- Work collaboratively with the reception, administration, clinical and management teams
- Liaise effectively with external organisations including hospitals, community services and PCN colleagues
- Escalate issues appropriately to senior staff when required
- Contribute to a positive and supportive team culture
- Maintain strict patient confidentiality at all times in accordance with GDPR
- Adhere to practice policies, procedures and protocols
- Work in line with CQC requirements and NHS standards
- Report any concerns relating to patient safety, safeguarding or information governance
- Undertake training and development as required
- Participate in practice meetings, training sessions and appraisals
- Keep skills and knowledge up to date relevant to the role
- Be flexible and adaptable to meet the needs of the service
- Carry out any other reasonable duties appropriate to the role
