Hours:
36.5 hours per week We are currently recruiting on an urgent basis for an experienced and highly organised Operations & Property Administrator to join an established organisation on a 6-month fixed-term contract. This is a varied administrative role with a strong focus on property, facilities and operational coordination. You will support the smooth running of a portfolio of properties, coordinating documentation, maintenance, suppliers, payments and day-to-day operational requirements.
The role would suit someone from a property administration, facilities, estates, office management or operations background who is confident managing a varied workload and dealing with multiple stakeholders.
The Role Working closely with the wider Estates and Operations teams, your responsibilities will include:
Providing day-to-day administrative support across property, facilities and operational activities. Coordinating property-related arrangements, including occupancies, moves, inspections and associated documentation. Preparing and maintaining agreements, records, inventories and other property documentation. Liaising with internal teams, landlords, letting agents, contractors and suppliers. Coordinating maintenance and repair requirements, ensuring actions are logged and followed up appropriately. Supporting property inspections and monitoring outstanding works.
Assisting with the administration of utilities, council tax, rents, licences and other property-related costs. Supporting budget administration, invoice processing and payment arrangements. Maintaining accurate property and facilities records and producing reports when required. Assisting with furniture, fixtures and equipment requirements across properties. Responding to queries and providing a professional and helpful service to internal stakeholders. Supporting the wider Estates team with general administration and operational projects.
Providing additional administrative or front-office support as required. About You We're looking for someone who is highly organised, practical and confident managing a varied workload. You will ideally have:
Previous experience in property administration, facilities administration, estates, operations or a similar role. Strong administration and coordination skills with excellent attention to detail. The ability to manage multiple priorities and follow tasks through to completion. Good knowledge of Microsoft Office, particularly Outlook and Word. Strong communication and interpersonal skills, with the confidence to liaise with colleagues, suppliers and external contacts.
A proactive approach to problem solving and the ability to use initiative. Good numerical and financial administration skills, including experience with invoices, payments or budgets. The ability to maintain accurate records and handle confidential information appropriately. A flexible approach and willingness to support wider operational requirements. The ability to work both independently and as part of a team. Important Information This is an urgent requirement and the successful candidate must be immediately available or able to start at very short notice.
The position is offered on a 6-month fixed-term contract, making it particularly well suited to candidates who are immediately available and able to commit to the full contract period. Why Apply?
