OverviewAn exciting opportunity for a motivated individual to join the Referrals and Bookings Team as a Clerical Administrator within the Outpatients department. The role involves welcoming patients, updating records, registering new patients, adding referrals and managing appointments via the Trust patient administration system (Care Flow). The role supports outpatient activity, ensuring a high quality, patient‑focused service.
Responsibilities- Welcome patients, exchange information verbally and in writing, and provide comprehensive advice about appointments.
- Update patient details, register new patients, add referrals and documentation to Care Flow and CWP.
- Ensure referrals are entered within 24 hours and liaise with referring trusts on outstanding reports (MDS).
- Maintain patient confidentiality and use patient information systems to assist patients and staff.
- Manage appointment cancellations, missing notes, and resolve issues arising in own role.
- Communicate complex appointment schedules to patients, including those anxious, angry or upset.
- Exchange relevant information with GPs and other health professionals.
- Assist with coding treatment appointments and first definitive treatments.
- Assess patient demographics, alert management if eligibility criteria are not met.
- Plan admissions, appointments, discharges, and adjust clinic structure for unexpected patients.
- Perform general administrative duties: collating correspondence, filing paperwork, ordering stationery and supplies.
- Operate office equipment: PCs, phones, printers, fax machines.
- Provide induction support to new post holders and demonstrate workplace routines to junior staff.
- Undertake surveys/audits of own work and maintain compliance with Trust policies, SOPs and legislation.
- Offer cover during colleagues’ annual leave and sickness.
- Support the reduction and backlog of electronic outcome forms and help move the service closer to real‑time outcomes.
- Perform any other duties required at the discretion of management.
Although not explicitly required, successful candidates should possess excellent administration and communication skills, be enthusiastic, willing to learn, and able to use initiative. Basic computer literacy and standard keyboard skills are necessary.
