Job Description & How to Apply Below
HAYA is a UK-based modest active wear brand built for women who don’t want to choose between coverage and performance. We sell across the UK, EU and US, and we’re growing fast. We’re now building out the team that will take us to the next stage.
The roleYou’ll own the journey from purchase order to customer, and make sure the right stock is in the right place at the right time and the right margin. This is a hands‑on role in a small team. You’ll build the systems as well as run them, and you’ll work directly with the founders.
What you’ll do- Own stock planning across 300+ SKUs in UK/EU and US, including reorder points, buy quantities and size curves
- Analyse sell-through, stock cover and bestseller performance to drive buying decisions
- Reduce stockouts on core lines and minimise dead stock and markdowns
- Plan stock for launches, promotions and seasonal drops alongside the product team
- Manage the PO lifecycle with our manufacturers in Asia, from order placement and production tracking to shipping and delivery
- Coordinate freight forwarders, customs brokers and our 3PL partners in the UK and US
- Prepare and check shipping documentation, including commercial invoices, ASNs and packing lists
- Keep customs and import compliance on track (HS codes, UK/NI and US import requirements, VAT and duty)
- Audit 3PL, freight and carrier invoices and push for better rates and service
- Track landed cost, fulfilment cost per order and gross margin by product and market
- Find and deliver cost savings across sourcing, freight and fulfilment
- Build simple, reliable reporting and processes the business can scale on
- 3+ years in merchandising for apparel, DTC or e-commerce
- Strong with spreadsheets: comfortable building stock models, trackers and analysis in Excel or Google Sheets and able to use AI to assist
- Experience working with overseas manufacturers and managing imports
- Commercially minded: you think in margin, sell-through and cash, not just tasks
- Highly organised and detail-focused, with the ability to spot the error in a document before it costs money
- Self-starter who builds structure where there isn’t any yet
- Bonus: knowledge of UK/EU/US customs, experience with 3PLs, Shopify or inventory tools
- Shape operations at a growing, purpose-led brand from an early stage
- Direct impact: your work shows up in margin, availability and customer experience
- Close collaboration with the founders and real ownership of your area
