The Accounting Payables Specialist processes invoices and expense reports, maintains records for external and internal audits, and manages the prepaid expense reconciliation for cash disbursed invoices. This non‑exempt position is eligible for overtime pay.
Required Qualifications , Competencies, and Skills- GED or high school diploma
- 1 year of working knowledge of general accounting principles
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
- Analytical, problem‑solving, judgement, organisation, and planning skills
- Follow‑through, resourcefulness, and initiative
- Communication skills—listening, speaking, writing—and collaboration, resilience, and balance
- Technical acumen, project management, and knowledge management
- Bachelor’s degree in a related field
- 2 years of experience in accounts payable
- Process all invoices and expense reports for payment; annual operating expense disbursement $11M‑$12M
- Execute appropriate checks or direct deposits for payment distribution
- Manage ACH setup and processing for expense reports
- Maintain all accounts payable files for research and retrieval; handle inquiries from internal and external customers
- Monitor Corporate VISA account holders who file expense reports and alert those potentially past due
- Prepare 1099s annually and maintain files on W‑9s for applicable vendors
- Act as liaison for the software payable system and coordinate troubleshooting with IT staff
- Assist with confidential special projects as assigned by management
- Manage prepaid expense accounting and reporting within the AP Prologue software system
- Consistently exemplify core values: integrity, community, dependability, excellence, longevity, and accountability
- Comply with regulatory rules and regulations through training and demonstrated abilities
- Perform additional duties or special projects as appointed by management
- Physical requirements:
primarily sitting with some standing, walking, lifting, and bending
