We are looking for an organized, dependable, and detail-oriented Accounts Payable Administrator to join our accounting team. This position is responsible for the day-to-day accounts payable cycle, vendor account management, payment processing, reconciliations, and supporting month-end accounting activities.

The ideal candidate is comfortable managing deadlines, following up on discrepancies, and keeping AP records accurate and up to date. This role works closely with our accounting, purchasing, receiving, and management teams.

Key Responsibilities
  • Manage the full-cycle accounts payable process, including invoice entry, coding, three-way document matching, cost corrections, and payment processing.
  • Review incoming invoices and ensure they are properly recorded, supported, and processed in a timely manner.
  • Reconcile vendor statements and investigate missing invoices, discrepancies, credits, and other outstanding items.
  • Prepare the weekly AP payment schedule for management review and approval.
  • Process approved vendor payments and issue payment remittances.
  • Maintain accurate digital AP records and supporting documentation.
  • Respond to vendor inquiries promptly and professionally and follow through on outstanding issues.
  • Maintain vendor accounts, including payment terms, contact information, and new vendor setup.
  • Assist with month-end close activities, including AP to GL, prepaid expenses, and tax-related reconciliations.
  • Prepare GST and PST working papers and assist with government tax filings and payments.
  • Assist with company credit card reconciliation and recording.
  • Provide bi-weekly payroll support, including reviewing timesheets/timecards for completeness and accuracy and assisting with payroll preparation.
  • Maintain and update employee vacation tracking records.
  • Support cash count and daily deposit processes as required.
  • Provide support and coverage for other accounting functions as required.
  • Perform other accounting and administrative duties as assigned.
Qualifications & Skills
  • Previous accounts payable or accounting experience preferred.
  • Strong attention to detail and commitment to accuracy.
  • Good organizational and time-management skills with the ability to manage recurring deadlines.
  • Comfortable investigating discrepancies and following issues through to resolution.
  • Effective communication skills and professional approach when dealing with vendors and internal departments.
  • Experience with accounting/ERP software and Microsoft Excel.
  • Ability to work independently while also contributing as part of an accounting team.
  • Experience with GST/PST reconciliations and filings is an asset.
  • Ability to oversee confidential employee and financial information with discretion.

The right person will be initiative-taking about identifying missing information, following up on discrepancies, keeping vendor accounts current, and ensuring payments and reconciliations are completed accurately and on time.
