Customer Service Rep
A Spa Front Desk Agent is one of the most valuable assets to the success of our business. Since our company is built on our reputation and client’s word of mouth, it is vital to our success that we provide exemplary service to all guests upon arrival to the Calm Waters Spa and make a lasting impression on their farewell. Spa Front Desk Agents must ensure all guest’s needs are satisfied to solidify their decision to return to the Spa.
ESSENTIALFUNCTIONS
- Greets and registers guests upon their arrival at the Spa
- Ensures the accuracy of guest file information
- Schedule spa services on a computerized spa system
- Posts guest charges
- Assists guests in understanding and settling their accounts
- Maintain eye contact when addressing external and internal guests
- Properly open & close the spa each day according to Standard Operating Procedures
- Acknowledge & greet everyone who enters & leaves spa facilities
- Maintain a clean, safe, fully stocked, and well‑organized work area
- Regularly attend, participate in, and support training and staff meetings for the spa
In addition to performing the essential functions, this position may be required to perform additional functions according to the needs of the spa and as assigned by the supervisor. These responsibilities may include but are not limited to the following:
- Be on time for your shift
- Ensuring guests have filled out health history forms, and therapists are aware of any guest conditions
- Promote the sales of additional spa services and gift certificates in a positive and motivational way
- Assist in all areas of spa operation as requested by management
- Develop the ability to work without constant direct supervision and remain at assigned post for extended periods
- Communicate to management any occurrences involving staff or guests in the spa that require attention
The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that they can perform the job’s essential functions with or without reasonable accommodation, using some other combination of skills and abilities.
Knowledge- Spa Coordinators provide detailed descriptions of spa treatments, packages, services, facility features, and hours of operation.
- Utilize spa computers with skill and proficiency.
- Exceptional communication, listening, and people skills
- Ability to manage payments according to procedures
- Ability to work independently and within a team
- Ability to project a positive attitude over the telephone
- Must be detail‑oriented and have the ability to multi‑task
- High school diploma or GED
- At least one year of consistent, steady work experience with the general public, specifically in customer service
- Previous hotel front desk experience helpful
- Pleasant personality; self‑starter; enthusiastic team player; self‑motivated. Spontaneous desire to assist others and provide excellent service. Passion for anticipating and exceeding our guests’ needs. Flexibility with schedule, including weekends and holidays.
