Pro Co LLC supports 24 medical locations across Atlanta with 400+ healthcare professionals. We're seeking a Facilities Administrative Coordinator to support our Director of Facilities Management with project coordination, vendor communication, and administrative tasks.

Perfect for: Administrative professionals looking to grow into facilities management or junior project managers!

What You ll Do Daily

Project Coordination (50%)

  • Track construction and maintenance projects across 24 medical locations
  • Schedule contractor meetings and vendor appointments
  • Coordinate inspections and permit applications
  • Update project timelines and maintain organized task lists
  • Prepare status reports for Facilities Manager

Vendor Communication (30%)

  • Make outbound calls to contractors, vendors, and permit offices
  • Follow up on project status and service completion
  • Coordinate permit applications with municipal offices
  • Manage vendor contact databases and performance tracking
  • Handle vendor inquiries and route appropriately

Administrative Support (20%)

  • Provide administrative support to Facilities Manager
  • Maintain organized project documentation and filing systems
  • Assist with budget tracking and invoice processing
  • Handle correspondence related to facilities operations
  • Support calendar management and meeting coordination
What We re Looking For

Required

  • 2+ years administrative or coordination experience
  • High school diploma (Associate s or Bachelors degree preferred)
  • Strong phone and communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent organizational and multitasking abilities
  • Detail-oriented with strong follow-through

Preferred

  • Experience in construction, facilities, or property management
  • Knowledge of permit processes or regulatory compliance
  • Vendor management or contractor coordination experience
  • Healthcare or multi-location organization background
