Are you highly organized, proactive, and able to exercise sound judgement and discretion while supporting leadership at the executive level? The ITRS Cluster is seeking a candidate for the role of Administrative Support  -  an opportunity to play a key role in enabling the work of the ITDS and Elector Data and Analytics divisions and supporting the delivery of elections.

In this role, you’ll support two executives and management team to manage day-to-day priorities, work closely with other divisional executives to coordinate across teams, and serve as a trusted partner in advancing strategic and operational goals. You are a relationship builder, a strong communicator, and you know how to collaborate!

The ideal candidate is proactive, efficient, with superior communication and multitasking abilities.

What you can expect in this role
Reporting to the Director, ITDS, the successful candidate will:
Provide high-level administrative support to the ITDS and EDA divisions.
Prepare and coordinate reports, briefings, and presentations.
Assist in the preparation of correspondence, reports, presentations, executive summaries, business cases, manuals, travel expenses and purchase requisitions.
Manage calendars, meetings, travel, and correspondence with professionalism and discretion.
Prepare and distribute agendas and records of discussion.
Perform a variety of administrative tasks, including divisional budget coordination and expenditure management.
Responsibly handle confidential information and documents.
Maintain and update the shared intranet site for the division.
Ordering and storing office supplies.
Complete other duties as assigned.

What you need to qualify
Demonstrated administrative/secretarial skills and the ability to work with limited direction amid competing priorities/deadlines.

Experience with manual and electronic records management.

Experience with managing calendars and strategically resolving scheduling conflicts.
Attention to detail.
Well-developed and responsive customer service skills.
Ability to take minutes electronically.
Ability to transcribe and distribute agendas/minutes within a short turnaround time.
Proficiency with Microsoft Office suite of tools, specifically Word, Excel, PowerPoint, Outlook, and SharePoint.
Proven ability to respond to diverse stakeholders with accurate and timely information.
Strong verbal and written communication skills.
Experience writing, editing, and proofreading confidential documents, presentations, and briefing notes.
Superior organizational and interpersonal skills.
Ability to adapt quickly to rapidly evolving circumstances.
Ability to work independently with minimal supervision.
Must be legally entitled to work in Canada.

This role requires in-office presence five (5) days per week. There is no hybrid option.

The successful candidate will be required to complete criminal background and social media checks as part of the hiring process.
