SUMMARY
The Administrative Coordinator (Security Clearances Team) provides administrative support to the BGIS security team and program in compliance with Infrastructure Ontario corporate and government policies and directives.
KEY DUTIES AND RESPONSIBILITIES
Reporting and Documentation
- Maintain a current list of security screened coworkers, suppliers and contractors in accordance to BGIS and Government of Ontario guidelines.
- Provide change of circumstance reports for personnel when required.
- Ensure required documentation is submitted in order to terminate the clearances of those coworkers and contractors who no longer require access to Government of Ontario information and assets or controlled sites in accordance with contractual requirements.
- Ensure that personnel security screening files are properly safeguarded.
- Ensure the proper completion of Request for Visit forms.
- Manage and maintain a visitor and clearance log.
- Incident reporting and breaches handled as needed. Understand how to resolve and report.
- Manage and ensure the Security Plan is maintained and specific to each building requirement.
Security Clearance and Access
- Process clearances for those BGIS Team Members and contractors requiring access to Government of Ontario information, assets, or work sites and ensure that accurate and complete personnel security screening documentation is submitted for such coworkers.
- Manage the issuance of card access and badge control.
- Ensure key access and secure zones are maintained.
- Work with the guard force and managers on site to ensure access control.
- Obtain approval from the DSO and ISP prior to BGIS subcontracting contracts with security requirements.
Training and Communication
- Ensure that coworkers working at client sites are briefed concerning any relevant security requirements.
- Administer the security orientation and training program as required.
- Inform the ISP prior to any physical move or new construction which could affect the safeguarding of Protected/Classified information or assets.
- Interface with government customers on security related issues.
- Act as a BGIS official contact with Government of Ontario clients to ensure that security issues are properly addressed and properly coordinated.
- Maintain a security perimeter by liaising with the guard force/facility management at each location.
Other
- Perform additional duties and responsibilities as needed.
- Have a good understanding of Security zones and how to maintain them.
- Have a good understanding of the Security requirements at each specific location.
KNOWLEDGE AND SKILLS
- Requires three (3) to five (5) years of administrative experience.
- Excellent computer skills, proficient with MS Office.
- Highly organized and able to multi-task.
- Strong time management skills and organizational skills.
- Must be dependable, responsive, customer-focused and possessing the qualities of diplomacy, tact, excellent judgment, discretion and initiative and perform in a multi-tasked and dynamic environment.
- Must be able to obtain and maintain a BGIS criminal background clearance.
- Must be able to obtain and maintain Infrastructure Ontario OPS and OPP clearance.
- Knowledge of corporate and Government of Ontario security policies and directives an asset.
- Demonstrated ability to effectively communicate information to various audiences and all levels of the organization, both verbally and through written communications.
- Must be dependable, responsive, customer-focused and possessing the qualities of diplomacy, tact, excellent judgment, discretion and initiative and perform in a multi-tasked and dynamic environment.
- Requires the ability to make sound decisions, manage time, take independent action, analyze problems and provide focused solutions.
Licenses and/or Professional Accreditation
- Hold (or willing to and able to obtain) Infrastructure Ontario OPS and OPP security clearance.
This is a full-time, contract position with a salary range of $24 - $26 per hour. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education and performance related to this role.
