About the role
The Executive Assistant (EA) provides direct, high-level support to the CEO, serving as an operational and organizational anchor across both organizations. This is an entirely on-site role based in Owings Mills, MD. Responsibilities include classic EA duties—calendar management, communication support, travel coordination—plus business development support for the tech platform, specifically scheduling and managing product demos with treatment centers and partners.
What you'll do
Executive Support
- Manage and protect the CEO’s schedule across both organizations.
- Prepare daily briefings, research, meeting summaries, and follow-up materials.
- Screen and prioritize communications.
- Coordinate all travel, site visits, conferences, and executive logistics.
- Draft and edit internal and external communications.
- Assist with presentations, board materials, special projects, and operational initiatives.
- Maintain strict confidentiality regarding clinical, personnel, and technology-related information.
Operational & Administrative Duties
- Serve as the central coordination point between leadership, facility directors, clinicians, and technology teams.
- Track tasks, deadlines, and deliverables for the CEO.
- Manage documents, contracts, compliance needs, and vendor coordination.
- Support HR scheduling, onboarding, and internal communications when needed.
- Maintain an organized on-site executive office environment.
Sales & Business Development Support (Tech Platform)
- Manage inbound demo requests and schedule all product demonstrations.
- Prepare demo materials, slides, briefing packets, and prospect summaries.
Qualifications
- 3–7+ years supporting a CEO, founder, or senior executive; healthcare or tech experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- High emotional intelligence and professional presence.
- Proficiency in Google Workspace, CRM tools, video meeting platforms, and modern office software.
- Comfortable working entirely on-site in Owings Mills, MD.
