OVERVIEW
The full-time Grace Kids Administrative Coordinator is responsible for providing daily administrative support services to the Grace Kids ministry. S/he is responsible for processing all new team member applications, updating and maintaining the Realm database, providing support for events and projects, communications, scheduling, purchasing and other administrative tasks.

ESSENTIAL FUNCTIONSCommunications
- Prepares written responses to routine inquiries and prepares and modifies documents, including correspondence, reports, and memos
- Receives and greets guests and team members when the Grace Kids Directors are not available
- Generates weekend hand-outs in conjunction with the Grace Kids Directors and uploads weekly Grace Kids lessons and videos to the website
- Manages the assimilation process of new families and new team members
- Prepares and sends out the agenda for meetings
Scheduling Support
- Schedules room reservations on the church calendar and submits AV, marketing, eSpace and graphics requests as needed
- Assists in setting up and managing all Realm groups under the Grace Kids Directors oversight, creating scheduling templates for serving teams
Staff and Ministry Support
- Manages and oversees:
Team member application process (including updating background checks & Child Safety Training), Registrations for events and Realm database groups - Orders resources and supplies, creates monthly newsletter template and records weekend attendance
- Creates and launches check-in events
- Assists K5 Director and GEMS Director with ministry meetings and events
- Assists with Grace Kids special events. (ADVENTure Experience, Ash Wednesday Experience, Family VBS, Grace Kids Fall Kick-off, Parent & Child Dedication classes and receptions)
- Assists with set-up for events, creates and prints signage for workshops and events and sets up tables and displays as needed
- Organized with an ability to prioritize daily tasks and special projects
- Able to maintain a positive attitude, a servant’s heart and grace under pressure
- Experience managing multiple projects at one time, special events, scheduling, purchasing and databases
- Experience in graphic design is preferred
- 3+ years administrative experience required; 5+ years preferred
- Highly proficient with technology, including Microsoft Office applications (Excel, Word, etc.)
- Convictions around God’s vision for ethnic unity
- In-office Monday-Friday
- 1x/Week Each:
Meet with the Grace Kids Directors, Attend the weekly All Staff Meetings and Attend the weekly All Staff Prayer Pause - 1x/Month Each:
Attend Admin staff meeting, Attend the Grace Families staff meeting and work Saturday or Sunday (weekday schedule adjusted accordingly) - 2x/Month
-Attend the Grace Kids Staff meeting - 1x/Year – Attend the All-Staff Retreat, typically in June
- 1-2x/Year – Attend the Grace Kids Staff retreat(s)
- Christmas Eve and Easter Sunday gatherings
- Grace Kids staff are expected to work at Grace Kids trainings and church-wide events
- Reports directly to the Grace Kids K5 Director
- Works closely with the staff from the following departments:
Grace Kids, Administration, IT, Communications and Facilities
