Administrative Assistant (Hanover, MD)
Coach USA/Dillons in Hanover is looking for a highly organized and detail‑oriented Administrative Assistant for our front office. The administrative assistant supports all types of operations including answering phones, day‑to‑day scheduling, data input, daily office upkeep, mail, and emails, and assists the Vice President/General Manager with routine functions and special activities, some of which involve evening events. The role handles sensitive and confidential information and requires excellent judgment, communication skills, and the ability to interact with a broad range of people – including administration, management, staff, customers, and visitors.
Compensation: $20–$25 hourly
Responsibilities- Manage day‑to‑day professional business of the Vice President/General Manager, including screening calls, emails, and correspondence and following up as appropriate
- Coordinate managerial appointments, meetings, events, interviews, and manage calendars
- Arrange travel (flights, car service, hotels) when needed
- Prepare documents, reports, and itineraries; communicate regularly with the Vice President/General Manager
- Reconcile expense reports and process payments (credit cards, checks, cash)
- Handle mail distribution and answer & transfer operator calls
- Assist with charter quotes, bookings, and contract uploads
- Maintain driver paperwork (maps, instructions, work orders)
- Order employee uniforms and office supplies
- Take detailed minutes at meetings and project tasks as requested by the supervisor
