Overview
The Supervisor, Certificates, IRA & Tax Reporting will be responsible for the daily supervision, coaching, and coordination of the Certificates staff to ensure staff can best serve members and other employees within the Credit Union. The position manages workflow, secures production by ensuring staff members are trained with proficient skill sets, and proactively removes obstacles for a consistent workflow. The Supervisor serves as the liaison between the team and upper management, guiding the team through processes and projects, assisting with hiring, and monitoring employee performance to ensure maximum productivity.
Responsibilities- Provides daily supervision of operational work, prioritizing workflow to meet quality, quantity, and timeliness standards. Provides cross‑training and backup support, completes performance evaluations, and approves or denies time‑off requests.
- Guides and uses independent discretion to partner with the Vice President, Manager, and staff to promote a smooth workflow. Focuses on process improvements, contingency planning, system upgrades, cross‑training scheduling, vendor and partner interaction, and personnel reviews.
- Participates in the hiring process for the Certificates Department, attends interviews, recommends candidates, and establishes Individual Development Plans with the Manager.
- Interacts daily with employees, outside vendors, members, examiners, and Tower executives.
- Serves as a knowledgeable resource for Vice President, Manager, and staff, responding to member and front‑line inquiries, interpreting policies, laws, standards, and regulations.
- Completes routine reviews of Traditional, Roth, and SEP IRA transactional data against required documentation and systems, ensuring compliance with internal policies and federal and state regulations.
- Performs additional departmental functions as assigned, including trust account processing, escheatment, back‑up withholding, decedent member processing, CD account maintenance, and other member‑initiated requests.
- Demonstrates effective and timely communication with management, leadership, staff, third parties, and members to resolve member and account issues efficiently.
- Reviews transactions and requests, articulates services and products to members and third parties, ensures documentation is scanned and stored properly, balances daily workload, and meets department deadlines. Performs duties of the Certificates, IRA and Tax Reporting Representative I/II as required.
- Communicates and upholds Tower Policies and Procedures, implements controls to ensure compliance with legal and regulatory requirements, and provides guidance on compliance items to create production coverage and cross‑training schedules.
- Serves as the Subject Matter Expert for seamless process and member support, delivering functional services independently.
- Acts as lead for ad‑hoc events supporting action items, projects, and special initiatives.
- Partners with Deposit Operations Leadership Team members for peer support, confidentiality, and consistency. Serves as the primary backup to the Manager during absences to maintain daily operations.
- AA degree plus 5 years of related financial services experience required. Bachelor’s degree or working toward a Bachelor’s degree preferred or a combination of education and experience.
- Two years of supervisory or team‑lead experience.
- Demonstrated effective team leadership, personnel management, production‑environment mindset, and project management skills.
- In‑depth knowledge of Tower’s Certificate and IRA products and services.
- Ability to develop solutions for abstract, ambiguous situations without regular management oversight.
- Independent performance of IRA processing functions, including quality control, account establishment, contributions, distributions, beneficiary designations, and tax file production.
- Excellent customer service skills and professional presentation.
- High accuracy and attention to detail.
- Ability to maintain confidentiality and comply with regulatory requirements (BSA, USA PATRIOT Act, OFAC).
- 100% onsite requirement.
- Office environment with internal and external phone interaction.
- Primarily weekdays; some weekends and alternate schedule available.
- Ability to lift up to 20 lbs.
- Security clearance required (Tower Facilities Only).
Signing Bonus: $1,000 (effective 1/20/2024)
Hours:
Monday – Friday 8:00 am – 4:30 pm
Hiring Range: $73,399 – $91,749
