Overview

The Workflow Management Specialist supports technical teams across multiple business functions, optimizing operational efficiency through documentation management, project coordination, and technical reporting support. You will act as a liaison between technical teams and stakeholders, manage documentation workflows, coordinate schedules, and support engineering teams, proposals, and business development.

Responsibilities
  • Analyze business and technical processes and develop new or modified information processing systems.
  • Represent the business unit in defining requirements and business cases for technology developments.
  • Coordinate with business and technology teams to ascertain system requirements and controls.
  • Perform advanced activities within the Microsoft Product Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Administer and support Jira platform activities, including dashboard creation, filter development, workflow configuration, and user guidance documentation.
  • Provide operational and programmatic support: documentation review, briefing preparation, action‑item tracking, schedule coordination, and issue/ failure tracking.
  • Assist in developing and maintaining project plans, schedules, and action‑item tracking systems for engineering technical leads.
  • Support preparation of project briefings in PowerPoint and develop informational papers in Word for internal and external stakeholders.
  • Assist in developing project estimates and cost‑analysis documentation for proposals.
  • Support process documentation initiatives and contribute to workflow improvement across business functions.
  • Maintain configuration‑management awareness, documentation control, version discipline, storage protocols, and archive management.
  • Edit, format, and support technical reports under guidance of technical leads, ensuring accuracy and compliance.
  • Maintain organized documentation repositories to support project deliverables.
Qualifications
  • 3 years of relevant experience with a Bachelor’s degree in a related field; or 1 year with a Master’s degree; or high school diploma and 7 years of experience.
  • US citizenship and ability to obtain and maintain a government clearance.
  • Located within commuting distance to Pocasset, Massachusetts.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
  • Experience with Jira and Confluence administration, dashboard creation, workflow development, and knowledge‑base documentation.

  • Proficiency in advanced Excel activities (macros, pivot tables, data visualization).
  • Demonstrated operational and programmatic support in a technical environment.
  • Documentation review, analysis, and control experience.
  • Strong briefing preparation and presentation skills.
  • Action‑item tracking, schedule coordination, and issue‑tracking management.
  • Proposal development experience, including estimates and cost documentation.
  • Excellent written and verbal communication.
  • Configuration‑management knowledge and documentation control.
  • Advanced Excel experience.
  • Use of AI to improve workflow efficiencies.
  • Data visualization tools (Power BI or Python scripting).
  • Experience integrating Confluence/Jira.
  • Create workflows in SharePoint.
  • Experience in Siemens Team Center environment.
Physical Requirements

Job performance will normally require only minor lifting and carrying of boxes of records or equipment.
