Office Coordinator – Part Time (28 hours per week)
Pay Range$21.00/hr – $23.00/hr
Qualifications- High school diploma required; associate or bachelor’s degree in business, office administration, healthcare administration or related field preferred
- Experience with office financial procedures, accounts receivable preferred
- At least three years of office or administrative coordination experience with knowledge of billing and coding
- Proficiency with computer systems; knowledge of EMR preferred and Microsoft Office (including Excel) required
- Strong organizational, communication, leadership and interpersonal skills

The Office Coordinator supports the daily operations of the Shipley Child Health Clinic by ensuring smooth patient flow, organized administrative processes, and effective coordination of front office activities. This position assists with billing and bookkeeping functions, maintains operational records, and supports compliance with state and national healthcare standards. The Office Coordinator works closely with the Executive Director, billing company, bookkeeper, and clinic staff to ensure efficient and family‑centered service.
CoreFunctions
- Coordinate front office operations including scheduling, patient registration and outreach, check‑in/check‑out, insurance troubleshooting, and workflow; provide coverage for front office staff as needed
- Assist with the monthly accounts receivable closing process and collaborate with billing company and bookkeeper to ensure accurate and compliant records
- Support monthly audits of patient accounts and assist with collections in a manner sensitive to families’ financial circumstances and the clinic’s sliding fee scale and facilitate write‑offs
- Maintain clinic records including contracts, files, policies, and other operational documentation
- Prepare reports for leadership and providers to track patient outcomes, clinical stats, revenue and support outreach for preventive and follow‑up care
- Coordinate provider credentialing with insurance plans to ensure compliance and work with billing company as their point of contact
- Order and manage supplies for the clinic and its programs within budget guidelines
- Help ensure that facilities remain clean, safe, and welcoming for children and families
- Participate in continuing education opportunities as appropriate
- Perform other duties as assigned by Executive Director
