JOB DESCRIPTION

Functional Area: Administrative Support

Title: Project Coordinator

Reports To: Preconstruction Manager

Job Summary: The ideal candidate will assist in overall project management from preconstruction through post construction. Including but not limited to the tasks listed below. The role is intended for a self-starter who is self-motivated and eager to gain in-depth knowledge of the overall workings of a construction project.

Responsibilities: The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. They are not intended to be an exhaustive list of all duties, responsibilities, and skills required of personnel so classified.

· Provide Administrative Support to Office Staff, Project Managers and Field Superintendents

· Assist with project administration deliverables including RFIs, Submittals, Closeout Documents within Project Management Software, Red Team

· Assist with all safety documentation and promote safe culture.

· Create and maintain project files, both electronically and hard copies

· Prepare and distribute project memoranda.

· Assist subcontractors with gaining appropriate security access to job sites; maintain discretion in the handling and submission of confidential information.

· Correspond with Subcontractors regarding required paperwork.

· Assist with answering telephones.

Project Invoicing

· Review client contracts for billing requirements; allowable markups, fee structure, retainage, waivers, tax requirements, shared savings, etc.

· Manage subcontractor progress billings and documents for compliance and timely submittal.

· Review and post subcontractor monthly progress billings

· Manage subcontractor payments.

· Maintain billing contract format (G702, G703 format)

· Prepare system generated client requisitions and provide necessary backup.

· Monitor accounts receivable and support with collection efforts.
Estimating

· Assist in the preparation of detailed conceptual budgets and estimating from pre-construction, concept design, schematic design and design development documents.

· Assist in take-offs of all trades. Assist with the entire bid process (construction management and general contractor) inclusive of preparation of detailed bid package.

· Ensure accurate and proper submissions & proposals by all subcontractors.

· Build and maintain vendor relationships.

· Level subcontractor bid proposals for accuracy and scope gaps

· Prepare scope of work documentation by division

· Attend on-site walk-throughs as needed.
