At First Mid, base salary is one component of our Total Rewards program. Exact compensation is determined by factors such as (but not limited to) education, skills, internal equity, and experience. This position offers additional compensation in the form of discretionary short-term incentives (i.e. bonus, incentives, and/or commission). The Loan Servicing Support Associate is responsible for centralizing support for loan and insurance documentation following loan closures. This role involves general record‑keeping and clerical functions to support First Mid Bank’s branches, customers, loan operations, and personnel. Key duties include reception, review and imaging of documentation, maintaining physical files, researching and following up on documentation issues, and processing documents from bank acquisitions.
Exceptional service to both internal and external customers is essential.
- Open, review and disburse daily mail and courier items to the appropriate employees.
- Review documentation for appropriate signatures and completeness.
- Review and image properly perfected vehicle titles received within the department.
- Assist in obtaining updated insurance information or verifying adequate coverage amounts to protect the bank’s interest.
- Utilize resources to identify, research and resolve routine customer issues.
- Collaborate with loan officers and support staff to address issues with loan documentation or processes.
- Offer resources and information to loan support staff on proper submission of documentation.
- Provide guidance to loan support staff on proper documentation submission.
- Image documentation by doc type and complete keyword entries to facilitate future research.
- Review appraisals and invoices for imaging in Collateral 360.
- File loan documents required to be maintained in paper form in the vault.
- Maintain loan files in an organized manner and schedule reviews for purging.
- Conduct bi‑annual audit of collateral cabinets, communicating with loan officers as needed.
- Review, image, purge and assemble loan files received from acquired banks.
- Review and image insurance documentation received by the department.
- Monitor internal reports, following up with the appropriate staff on missing items, adding exceptions for tracking and follow‑up when necessary.
- Maintain up‑to‑date processes and procedure documentation utilized for daily tasks.
- Complete required training specific to job responsibility.
- Perform peer training for daily tasks and escalated items.
- Work scheduled hours as designated as a member of the Loan Servicing Staff.
- Perform additional duties as assigned.
- High School Diploma or equivalent.
- 2+ years of clerical or banking experience preferred.
- Insurance experience pertaining to Commercial and Consumer customers is preferred but not required.
- Proficient in Microsoft Office Suite.
- Basic understanding of loan processes and the bank’s core operating system.
- Ability to handle detailed information accurately, promptly and confidentially.
- Capable of managing a substantial workload of varying tasks.
- Strong interpersonal skills with the ability to interact professionally with the team and customers.
- Excellent customer service skills.
- Possess the ability and drive to work independently and with a team in person and remotely.
- Knowledge of internal policies, procedures and state and federal regulations to ensure compliance.
- Flexibility to work on a rotating Saturday schedule and adjust work hours as needed, including earlier or later than standard hours.
