Job Summary:
A Project Coordinator plays a pivotal role in securing business, coordinating logistics, scheduling projects, and supporting the field operations of GPRS, LLC. This position demands exceptional communication skills, strong organizational abilities, and the aptitude to manage complex customer interactions. The Project Coordinator will work within a collaborative team environment to manage the schedules of 25+ Project Managers, respond to a high volume of customer inquiries, and liaise with key stakeholders across field services, sales, and corporate teams.
By providing a consultative and efficient customer experience, the Project Coordinator directly contributes to customer satisfaction and the overall success of GPRS.
Job Goals:
Deliver an Outstanding Customer Experience:
Manage and nurture incoming leads, securing work by delivering responsive and personalized customer service. Maintain a consultative approach, ensuring each customer interaction is handled with professionalism and care.
Logistical Coordination & Scheduling: Collaborate with a team of Project Coordinators to oversee the daily scheduling and optimization of 25+ Project Managers. Ensure projects are accurately priced and efficiently assigned, considering logistical factors to maximize operational effectiveness.
Stakeholder Communication & Collaboration: Act as a liaison between Field, Sales, and Corporate teams to facilitate seamless communication and ensure alignment. Guarantee that all relevant parties are informed, prepared, and aligned for upcoming projects, ensuring timely and high-quality service delivery.
Consultative Project Support: Provide tailored solutions based on customer needs, leveraging internal knowledge and training to identify opportunities that drive customer value. Offer strategic recommendations that enhance customer satisfaction and operational efficiency.
Emotional Intelligence & Team Collaboration: Demonstrate high emotional intelligence in all interactions, building and maintaining positive relationships with both customers and team members. Effectively manage challenging customer conversations, balancing customer satisfaction with operational feasibility.
Job Responsibilities:
- Respond promptly and professionally to incoming leads via phone, email, or web inquiries.
- Engage with potential clients to understand their needs, project requirements, and timelines.
- Provide tailored solutions and project proposals to secure new business and foster long-term client relationships.
- Collaborate with Project Coordinators to oversee the daily scheduling and optimization of 25+ Project Managers.
- Ensure projects are accurately priced, efficiently assigned, and deadlines are met.
- Coordinate internal resources and external vendors to ensure timely completion of tasks.
- Facilitate seamless communication and alignment between Field, Sales, and Corporate teams.
- Organize and lead logistics and scheduling, providing regular updates to all stakeholders.
- Maintain accurate and up-to-date project documentation, including plans, contracts, schedules, and communications.
- Demonstrate high emotional intelligence in interactions, building positive relationships with customers and team members.
This is a full time onsite position Monday thru Friday from 8:00a.m. to 5:00p.m.
- Minimum 2+ years of experience in sales operations, customer service, or related field.
- Proficiency in Microsoft Office and Teams, and CRM experience preferred.
- Demonstrated proficiency in using ERP systems with the ability to maintain accurate data and support operational processes.
