As a Sales Coordinator, your job entails supporting the Sales Team by executing a variety of administrative and clerical responsibilities that enhance the customer experience. This entry‑level position is responsible for providing excellent customer service at the Esperanza Homes Design Studio by receiving visitors, greeting, welcoming, directing, and announcing them appropriately as needed. In addition, the Sales Coordinator supports the Sales Team by executing duties that enhance productivity and efficiency, upholding our Rhodes Core Values and supporting the accomplishment of our organizational purpose to create beautifully engaging communities.

- Open and close welcome center per scheduled hours
- Supports maintaining digital and hard lot files for all sales‑related documents
- Supports ensuring all sales documents are filed in the correct One Drive
- Supports sharing relevant One Drive files with financing partners
- Supports creating and closing out lot files in current builds and past builds folders
- Supports archiving schedules in Mark Systems and performing lot file audits
- Supports assisting the sales team in changing a customer’s lot selection, floorplan, elevation, or community
- Supports with kick‑out and re‑price cancellations
- Supports with verifying the accuracy of our interactive map
- Receive and catalog house keys
- Receive and catalog mailbox keys
- Receive and catalog garage remotes
- Prepare closing packets for Sales Managers
- Supports with spot checking CRM data daily
- Supports with verifying that everything received is also accounted for in the CRM’s data
- Supports with using automated reports in Hub Spot to identify errors and address them with the sales team
- Add Starts to “Start Requests Received” file
- Log Design and Structural options spent in Mark Systems
- Supports with creating customer portals and mark Homeowner Portal completed in ITK
- Supports with adding customers to the excel merge file once customer portals are created
- Supports with adding merge file with addresses for every home
- Supports with adding weekly SPEC home lawn maintenance requests in HALO
- Supports with processing HALO tickets daily as received
- Supports with preparing and comprehending automated reports used weekly
- Supports with searching for data and input in reports accurately
- Supports with sending weekly reports via email to our mortgage, title, and vendor partners
