Role Mission

As a Rhodes Service Coordinator, you will provide essential administrative and coordination support for the Home Service and Landscaping departments. You will serve as the central point of contact for all incoming service and maintenance requests, ensuring each is handled promptly, accurately, and with exceptional professionalism. Your role is vital in scheduling and dispatching resources, maintaining clear communication, and ensuring smooth day-to-day operations.

Accountabilities

Customer & Communication Management
  • Serve as the first point of contact for all service inquiries related to Home Service and Landscaping.
  • Provide transparent, timely, and professional communication to customers, vendors, and internal teams.
  • Accept and route phone calls, emails, text messages, and other correspondence efficiently.
  • Greets and assists customers or visitors who walk into the Tres Lagos Construction Park office.
  • Maintain a courteous and solution‑focused approach when managing inquiries or complaints.
Service Request Coordination
  • Coordinate all incoming service requests, follow‑ups, and correspondence between customers, technicians, subcontractors, and department directors.
  • Ensure requests are logged and tracked accurately in company systems.
  • Promptly schedule the necessary inspection or technician visit and confirm all details with the customer and assigned team members.
  • Monitor progress of open service requests to ensure timely completion and proper documentation.
  • Follow up with technicians to ensure they understand and have followed their scheduled assignments.
Scheduling & Calendar Management
  • Maintain shared calendars for service and landscaping technicians to ensure clear visibility of appointments, workloads, and availability.
  • Coordinate scheduling changes as needed and communicate updates to all impacted parties.
  • Work proactively to minimize scheduling conflicts and service delays.
  • Ensure that appropriate notices, reminders, and alerts are sent to customers and internal teams in a timely manner.
Administrative & Documentation Support
  • Maintain meticulous and real‑time records of all service-related touches in centralized tracking systems.
  • Log all correspondence and scheduling actions for accountability and transparency.
  • Process invoices, purchase orders, and vendor documentation for approval.
  • Prepare reports, correspondence, and departmental documentation as requested by directors.
  • Support billing and collections.
  • Support general office operations, including data entry, filing, and recordkeeping.
Office Management Support
  • Maintain stocked inventory of snacks, beverages, and office supplies at Tres Lagos Construction Park.
  • Receive, log, and distribute deliveries to appropriate staff.
  • Coordinate and oversee light property repairs and maintenance needs.
  • Ensure common areas remain clean, organized, and functional.
  • Serve as the on‑site point of contact for vendors and maintenance personnel.
Collaboration & Continuous Improvement
  • Partner closely with department directors and field staff to ensure smooth coordination of resources and information flow.
