Job Description

Primary

Purpose:

Responsible for maintaining student records at the campus level and processing student enrollment, transfers, and withdrawals for the campus.

Major Responsibilities & Duties
  • Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, schedule changes, and grade books.
  • Process new student records: request transcripts and records from other schools, set up cumulative folders, and enter student data into appropriate databases.
  • Coordinate grading process: process scan sheets, verify and correct grades, and print and distribute report cards.
  • Process and transmit requests for student information, including student transcripts for colleges and universities.
  • Prepare and distribute University Scholastic League (UIL) eligibility lists.
  • Calculate grade point averages, class rank, and prepare honor rolls.
  • Assist counselors with enrollment, withdrawals, and transfer of students, and process applicable records.
  • Assist campus administration and counselors with the preparation of reports and student data information.
Other Duties
  • Prepare and distribute student identification cards, bus passes, and parking stickers.
  • Coordinate the ordering and distribution of all graduate materials, including caps, gowns, and diplomas.
  • Maintain confidentiality of information.
Supervisory Responsibilities

None.

Working Conditions

Standard office equipment, personal computer, and peripherals; occasional use of specialized equipment as needed. Prolonged sitting; occasional bending, pushing/pulling, and twisting; repetitive hand motions; frequent keyboarding and mouse use; occasional light lifting (≤15 lbs). May involve prolonged or irregular hours. Work performed with frequent interruptions; requires emotional control under stress and ability to communicate effectively, learn new technology systems, work under pressure of deadlines, and work independently and in shared office spaces.

Requires teamwork, professional demeanor, resourcefulness, acceptance of supervision, and punctual attendance.

Evaluation

Performance will be evaluated in accordance with Board Policy on Evaluations of At‑Will employees.

Preferred Knowledge, Skills, Abilities & Experience
  • Three years clerical experience.
Requirements
  • High School Diploma or GED equivalency.
  • Ability to perform accurate accounting with numerical data.
  • Ability to use computer for data entry, retrieval, and campus reports.
  • Proficient keyboarding and file maintenance skills.
  • Basic math skills.
  • Strong organizational, communication, and interpersonal skills.
