Administration Assistant at Barkan Management Company, Inc.
Base pay range: $23,000 – $25,000 per year.
Location:
Colonies at McLean, 7681 Provincial Drive, McLean, VA 22102.
Full‑time position reporting to the Property Manager. The role is centered on providing excellent customer service and supporting daily operations of the property.
Responsibilities- Handle telephone calls and electronic communications from residents, owners, Realtors, vendors, and the corporate office in a timely and professional manner.
- Maintain and update all Board of Directors, Owner, Resident, Entry Gate Telephone, and other databases; provide updates as needed to staff and corporate office.
- Assist the Property Manager in coordinating and scheduling in‑unit and common area work orders; process invoices as needed.
- Maintain inventory of supplies and materials for office and maintenance staff; purchase supplies and materials as necessary.
- Maintain the association’s website.
- Perform general administrative/office duties, including filing, electronic communication, mailings, notices, and other correspondence.
- Administer sales and refinance of units, including owner release of information forms, project questionnaires, resale certificates, move‑in/out forms, and distribution of new resident packages.
- Process and track vendor payments on a weekly basis.
- Assist with preparation of monthly management package, minutes, annual meeting, annual report, and budgets.
- Perform other duties and projects as required by the Board of Directors, Property Manager, or Account Supervisor.
- Prior property management experience preferred but not required.
- Strong written and verbal communication skills.
- Self‑motivated, able to respond to resident requests in a timely manner.
- Proficiency with Microsoft Word, Excel, Yardi, and Outlook.
