Location:

Tysons Corner, VA (Hybrid – telework plus four in‑office days per week)

The Proposal Coordinator supports the IDV PMO in task‑order proposal response efforts, learns and implements best practices in proposal development, and serves as the staffing lead for proposal responses.

Responsibilities
  • Coordinate proposal data management.
  • Create proposal plans (themes, discriminators, outlines, compliance matrices, storyboards, schedules, and assignments).
  • Translate RFP requirements into proposal plans.
  • Organize meetings, prepare materials, coordinate review teams, and manage event requirements.
  • Coordinate writer and subject‑matter‑expert inputs.
  • Collaborate with BD staff to research and track opportunities.
  • Implement bid strategy and ensure compliance.
  • Handle administrative tasks: schedule meetings, travel, department activities; prepare pipeline reports, memos, charts, graphs; manage confidential information.
  • Execute the BD Staffing Process.
Required Qualifications
  • Minimum 3 years of experience in a proposal environment.
  • Strong coordination skills across data sources and proposal teams, written and oral.
  • Highly organized, producing high‑quality proposal products (graphics, slides, text) and coordinating color reviews.
  • Team player with willingness to share content in corporate proposal archives.
  • Excellent organizational and communication skills, attention to detail, capability to create outlines and schedules.
  • Proofreading and quality‑control skills under tight deadlines.
  • Proficiency with Microsoft Office (Word, PowerPoint, Excel, Teams).
  • Ability to work in a matrixed, fast‑paced environment.
  • Effective oral, written, and presentation communication skills.
  • Ability to obtain or possess a Secret‑level security clearance.
Preferred Qualifications
  • Graphics creation or desktop publishing experience.
  • Internet research skills.
  • Experience with market‑intelligence tools (Gov Win).
  • Experience with Salesforce or similar CRM.
  • Familiarity with task‑order proposal vehicles (ITES‑3S, RS3, CIO‑SP3, Sea Port NxG, GSA MAS, GSA OASIS+).
  • Bachelor’s degree in Business Administration, English, or related discipline.
