Job SummaryThe Admitting Representative assists patients in accessing healthcare services through pre‑registration, registration, and check‑in. The representative is responsible for capturing accurate demographic and financial information through in person, electronic or telephone contact. The Admitting Representative courteously greets callers, determines the reason for their call, and answers questions or directs their requests to different departments as necessary.

- Registration and admission process activities:
- Provide outstanding customer service and communication to patients, visitors, and coworkers.
- Identify patient identity and generate wristbands.
- Explain and obtain signature for consent forms including HIPAA Notice of Privacy Protection.
- Have working knowledge of Medicare/Medicaid and third‑party insurance; obtain knowledge within 90 days if not currently held.
- Enter and verify accurate insurance information; note insurance status when applicable.
- Scan patient information and signed consent forms into the electronic medical record.
- Orient and educate admitted patients about their rights and provide complete admission packet.
- Provide clerical and PBX support to medical providers and outpatient service departments.
- Assist Emergency Room providers with transportation arrangements for discharged patients.
- Compile midday and midnight Pre‑Census Report.
- Assemble patient visit paperwork (provider orders, insurance authorizations, lab results, etc.).
- Provide supporting coverage in all areas of registration (ER Admissions, Information Desk, Main Admissions, Wound Care Clinic, etc.).
- Other clerical duties as assigned.
- Complete department daily checklist including pre‑registrations, registration file maintenance and other needed tasks.
- Scan all required documents into patient’s electronic medical record (consent forms, IDs, insurance cards, etc.).
- Daily petty cash reconciliation.
- Complete Health Stream education by designated due date.
- Model positive and professional interactions between staff, leadership, providers, patients, and visitors.
- Read and respond to departmental emails and interdepartmental communications in a timely manner.
- Follow all hospital and departmental policies and procedures, including donning and doffing of appropriate PPE.
- Understand and strictly adhere to HIPAA. Promote a HIPAA compliant campus.
- Maintain a personal presence characterized by honesty, integrity, and caring.
- Foster collaborative relationships with peers in the department and other staff.
- Participate in professional development and educational activities. Attend assigned meetings and in‑services.
- Communicate time off requests by deadlines outlined by supervisor.
- Perform other related duties.
- A High School Diploma or equivalent and one year of satisfactory clerical experience.
- Ability to commute/relocate if needed. In‑person positions only available for Admissions.
- Capability to sit and work with a computer for extended periods.
- Customer service orientation; ability to answer a multi‑line phone system and transfer calls if needed.
- Successful applicants will be self‑motivated and able to work well both unsupervised and as part of a team.
- Keyboard familiarity; type at a minimum of 100 keystrokes (≈20 words) per minute.
- Proficiency with Microsoft Office tools (Word, Excel, Teams, etc.).
