Payroll Coordinator

Job Description

The payroll coordinator works as part of a team to process payroll for Medford Public School employees while ensuring accuracy, timeliness, and proper handling of benefit deductions.

The payroll coordinator handles highly confidential information and must uphold strict confidentiality. The role requires meticulous attention to detail, strong organizational skills, and the ability to work efficiently and ensures payroll compliance with all collective bargaining agreements and individual contracts.

Calculate and apply wage garnishments, review salary calculations, retro-active pay calculations and leave of absence salary calculations.

Administrative Duties
  • Enters payroll for assigned employee batches promptly.
  • Maintains employee payroll records by communicating with staff when a change is made, and keeps proper documentation records in the personal file.
  • Processes MTRS and PERAC(City) retirement applications and buy back research, maintains retirement records for active employees.
  • Coordinates with HR and Payroll Manager to reconcile the monthly MTRS report.
  • Onboard new/rehired employees into the payroll system. Files work promptly to keep all personnel paperwork up to date.
  • Offboard employees who leave the district. Submits appropriate documentation to retirement and union boards, and other applicable parties.. Files work promptly.
  • Distributes payroll deduction reports to vendors and union representatives.
  • Processes employment verifications.
  • Processes employee pay/deduction changes.
  • Compiles files and payroll reports as needed.
  • Serve as system administrator for Payroll Employee Forward (resetting passwords/user access)
  • Performs other reasonable duties as requested by the supervisor.
Organizational Skills
  • Sorts and distributes interoffice and other mail as needed.
  • Maintains standard office records for the department as necessary.
  • Compiles all W2s, Pay Stubs, and other payroll documents promptly to send out via interdepartmental mail.
  • Demonstrates a solid understanding of Google services as well as other technology-related skills and platforms appropriate to department needs .
