Position Details

Title: Per Diem Administrative Assistant

Location: Medford, NY

Employment Type: Full‑Time/Part‑Time (Per Diem)

Salary: $21.00 per hour

Days and hours may vary; reporting to Office Manager.

Responsibilities
  • Assist Office Manager with front‑desk coverage including phone handling, mail handling and distribution, and greeting visitors to the main office.
  • Assist with completing the cash/check log procedure.
  • Maintain and distribute the monthly staff birthday and anniversary list.
  • Maintain and update the intranet calendar, intranet forms, main office extension list, main office cube numbers, extension list, SHO supervisor list, employee cell‑phone list, and main office staff printer/toner list.
  • Stock office and other supplies in open, common areas (e.g., paper in printer and fax machine, literature center forms, stationary, rest room, etc.).
  • Process purchase requests for all office purchases.
  • Process work orders for maintenance issues at the main office.
  • Keep the office neat and orderly (reception area, waiting room, office equipment room, conference room, kitchenette, and other common areas).
  • Type, fax, copy documents and letters as needed.
  • Assist all departments on an as‑needed basis with approval of the immediate supervisor.
  • Remain current with all agency‑required compliance documents and trainings.
Qualifications
  • Minimum high‑school diploma; two years of administrative experience a plus.
  • Proficiency in Word and Excel a plus.
