We are looking for a talented Administrative Assistant to join the Vision Systems Business unit, providing office administrative support to employees and managers on site.

Vision Systems, a business unit of Gauzy, is a market leader in shading systems focused on the development, design, and manufacturing of comprehensive, customized award‑winning products for aviation, marine, and special vehicles.

Located in Melbourne, FL. 32901.

Responsibilities
  • Provide general administrative support to employees and managers on‑site.
  • Answer, screen, and forward incoming phone calls and follow up customers’ calls.
  • Support managers in scheduling meetings and interviews.
  • Logistics tasks and oversee office services such as deliveries, documentation, mail, parking, etc. Including bank and post office runs.
  • Order office supplies.
  • Scan and copy documents.
  • Support HR in welfare‑related issues and prepare onboarding for new employees.
  • Update employees’ training records and certifications in employee records.
  • Accounting support – file invoices, check suppliers’ invoices, follow up with suppliers if necessary, monitor payment deadlines, etc.
  • Organize travels and visits – create invitation letters for business trips, book hotels and car rentals, order catering for customers, and prepare meeting rooms.
  • Other related duties as assigned.
Requirements
  • 1+ year(s) in an administrative position.
  • Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent planning and organizational skills, attention to detail.
  • Service‑oriented mindset.
  • Outstanding oral and written communication skills and strong interpersonal skills.
  • Ability to work independently and as part of a small team.
  • Ability to multitask.
  • Experience working within a small team and prioritizing own workload.
