Position SummaryThe Surgery Scheduler is responsible for coordinating all aspects of surgical and procedural scheduling for our providers across multiple locations and facilities. This role serves as a key liaison between patients, providers, surgery centers/hospitals, imaging, and insurance companies to ensure that every case is scheduled accurately, timely, and in compliance with payer and facility requirements.

Key Responsibilities- Coordinate and schedule surgical procedures, injections, and other interventions for multiple providers across various facilities (ASC, hospital, and office-based procedures).
- Obtain and track required pre-authorizations, referrals, and clearances (medical, cardiac, imaging, labs) prior to surgery or procedures.
- Verify insurance benefits and coverage for planned procedures and communicate any financial responsibilities to internal billing/authorization teams as needed.
- Communicate surgery details to patients clearly, including:
- Date, time, and location
- Pre-op instructions
- Post-op follow-up appointments
- Any required testing or imaging
- Serve as the primary point of contact for patients with questions about their scheduled procedure or pre-op steps.
- Coordinate with surgery centers, hospitals, and internal clinical staff to ensure accurate case posting, correct CPT/ICD-10 coding information, and necessary documentation.
- Maintain accurate and up-to-date surgery calendars, tracking all changes, cancellations, and reschedules.
- Work closely with providers, MAs, front desk, and the billing team to streamline workflow and minimize scheduling issues or delays.
- Ensure all documentation is complete in the EMR (e.g., ECW) and that all required forms are uploaded and properly categorized.
- Assist with internal reporting and tracking of surgical volumes, cancellations, and turnaround times as needed.
Required:
- Previous experience as a surgery scheduler, procedure scheduler, or similar role in a medical practice, hospital, or ASC.
- Strong understanding of medical terminology, especially related to orthopedics, spine, and pain management.
- Familiarity with insurance verification and prior authorization processes.
- High level of attention to detail and accuracy in documentation and communication.
- Excellent communication skills (phone, in-person, and written); comfortable explaining procedures and instructions to patients.
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
- Proficiency with EMR systems (experience with eClinical
Works is a plus) and basic Microsoft Office/Excel skills.
Preferred:
- Experience in a multidisciplinary orthopedic or spine practice.
- Knowledge of common spine/orthopedic surgeries, injections, and DME workflows.
- Prior experience coordinating between multiple facilities (surgery centers, hospitals, imaging centers).
