Local Resource Specialist
Join the team at Nixon Peabody LLP as a Local Resource Specialist. This role provides local on‑site administrative support to meet the needs of the office and timekeepers from all departments. You will perform complex administrative duties and assist Reception, Office Services, and other groups/departments while maintaining professional contacts with clients, attorneys, and staff.

Responsibilities- Work closely with local attorneys, legal secretarial assistants, and paralegals to provide onsite administrative support.
- Monitor and complete incoming work requests in a timely manner, redirecting to appropriate resources as needed.
- Coordinate input and revision of correspondence, documents, memorandum, and forms; proofread for accuracy in spelling, grammar, context, and format; draft engagement letters, new business intake forms, and attorney consultation notes.
- Provide administrative backup support to legal secretarial assistants where appropriate.
- Coordinate copy/scan and print jobs; send faxes and e‑mails; prepare and coordinate mailing of documents/packages via regular mail, overnight delivery, or courier services; produce binders, tabs, exhibits, and tables of contents.
- Coordinate the distributions and mailings of court, deed, and other paper filings.
- Perform or expedite the compilation of litigation documents, including discovery, motion, and trial documents; ensure filings are complete.
- Communicate (both verbal and written) with clients and attorneys directly as needed.
- Perform clerical tasks related to creating, updating, and maintaining client files in accordance with records‑management policies; use the Records Management database to locate and request files from storage.
- Process check requests, expense reimbursements, and vendor invoices as needed.
- Participate in firm training, including soft and IT skills.
- Train and mentor new Local Resource Assistants (LRA) on tasks, responsibilities, and new projects.
- Facilitate coordination of onsite meeting requests, including reserving conference rooms and visitor offices and notifying local building security as needed.
- Handle short‑ and/or long‑term projects from practice groups and functional areas.
- Update procedural training guides as needed.
- Perform other duties as assigned.
- 3–5 years of relevant experience, preferably within a law firm or professional services environment.
- Associate or bachelor’s degree preferred; equivalent work experience considered.
- Notary Public certification preferred.
- Excellent interpersonal, communication, and customer‑service skills, both verbal and written.
- Positive and professional demeanor; able to interact effectively with personnel at all levels.
- Ability to maintain confidentiality at all times.
- Demonstrated organizational skills with attention to detail.
- Adept at analyzing and solving problems, interpreting instructions, and judging when to seek clarification.
- Ability to work independently and prioritize tasks with minimal supervision.
- Skillful at navigating internal resources (Central IPC and Help Desk) to manage workflow and ensure successful completion of assigned tasks.
- Proficient in Microsoft Office Suite and other office technology applications.

Long Island, NY: $67,000 to $95,700 per year. Salary ranges are estimates and may vary based on location, experience, and qualifications.
