The Senior Administrative Specialist provides comprehensive administrative support to ensure smooth and efficient departmental operations. Working with minimal supervision, this role assists in office management, vendor coordination, report and document preparation, departmental visits and recruitment assistance, faculty support, handling communications, and supports events and initiatives that advance the department’s mission. The specialist also serves as a resource and team member to other administrative staff and handles confidential matters with professionalism and discretion.
Key Responsibilities- Coordinate department seminars, workshops, and conferences, including scheduling speakers, securing locations, managing communications, and preparing materials.
- Organize planning meetings with stakeholders and track follow-up actions.
- Anticipate administrative needs, initiate solutions, and manage special projects independently.
- Prepare standard reports related to budgets, variances, and expenses.
- Ensure accurate documentation and data management while maintaining confidentiality.
- Support faculty members or leaders with scheduling, communication, lab setup, grant-related activities, and other tasks within your scope of work.
- Assist with recruitment processes by developing and coordinating itineraries for departmental visitors and new hires.
- Perform other duties as assigned to meet departmental and institutional goals.
- High school diploma/GED required.
- Bachelor's degree preferred.
- Minimum Requirement: 4+ years of experience in administration or related areas.
- Experience Exception:
Bachelor's degree with no experience required. - Some experience with activities involving planning, organizing and coordinating is important.
- Experience with tasks that involve managing routine or repetitive activities, high attention to detail and clear communication are critical.
- Demonstrated experience working with office technologies including Microsoft Office (Word/Excel/PowerPoint, etc.).

This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs.
It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $22.00 - $38.50 per hour for the role of Senior Administrative Specialist
