Position: Office/Administration - Administrative Assistant Lv3

The Administrative Assistant 3 will make independent decisions regarding planning, organizing, and scheduling of more complex administrative support. We seek an experienced professional who will coordinate, integrate, and implement assigned administrative or staff functions.

Responsibilities:

  • Provide assistance and training to lower-level employees.
  • Plan, coordinate, and confirm logistics for more complex meetings and travel.
  • Solicit, collect, and organize documentation and data, performing moderately complex data entry into one or more systems.
  • Schedule and coordinate meetings, diaries, and travel arrangements.
  • Apply detailed knowledge of department operations and infrastructure, policies, and procedures to perform moderately complex administrative processes.
  • Handle complex clerical, administrative, technical, or customer support issues under minimal supervision, while escalating only the most complex issues to appropriate staff.
  • Other duties as assigned.
  • Minimum Qualifications:

  • High school diploma, secondary education level, or equivalent.
  • Four years of related work experience.

    Schedule:

    Monday-Friday, 8:30am - 5pm

    Job Duties:

  • Enter and manage data in ITAS system.
  • ITAS testing as requested by corporate team, verify appropriate documents are received from new counter parties, follow up to obtain missing documents, support merchants as needed, do sanction checks on vessels, scanning, indexing, collect tariff information annually and enter into ITAS, back up front desk.
  • Resume/Interview: Manager will review resumes; interviews will be in person (30 minutes on-site).

    Onboarding: Background check required; drug test required.
