JOB SUMMARY /ESSENTIAL JOB FUNCTIONS:
The Administrative Coordinator provides comprehensive administrative, operational, and limited clinical support to the faculty, staff, and students within the Diagnostic Sciences Department, with primary focus on the Oral Diagnosis (OD) Division. This position serves as a central resource for both the academic and clinical functions of the department, coordinating daily operations, supervising clinical support staff, assisting with instructional activities, and ensuring efficient communication between faculty, students, and administrative offices.
The Administrative Coordinator plays a vital role in maintaining the productivity and organization of the Oral Diagnosis Clinic and related didactic courses, contributing to the department’s mission of excellence in teaching, research, and patient care.
- Collaborates with the Oral Diagnosis Clinical Director to maintain efficiency, productivity, and quality assurance within the OD Clinic.
- Coordinates student and faculty assignments to appropriate clinic sessions and supervision teams.
- Provides support to faculty during pre-clinical laboratory sessions, including equipment setup and student assistance.
- Provides administrative support to the Department Chair, faculty, and staff.
- Manages students block patient assignments to ensure balanced clinical experience and workflow.
- Supervises and schedules Oral Diagnosis dental assistants, providing guidance, training, and performance feedback.
- Acts as a liaison between students and faculty, ensuring effective communication regarding schedules, assignments, and clinical procedure.
- Prepares, enters, and maintains student grades in the designated learning management system.
- Facilitates onboarding and orientation for new department faculty, staff, and student workers.
- Performs clinical diagnostic testing including blood glucose and INR (International Normalized Ratio) tests as needed to support patient care and student education.
- Performs other duties as assigned.
MINIMUM REQUIREMENTS:
- Education: High School Diploma or GED. (TRANSCRIPT REQUIRED)
- Experience: Four (4) years of related experience; OR Bachelor’s Degree in lieu of experience. Must have experience as a dental assistant. (Clinical Dental Assistant (CDA) certification preferred.)
- Knowledge and skill in acquiring digital radiographs.
- Knowledge of proper infection control procedures.
- Excellent organizational skills and the ability to work on multiple projects simultaneously.
- Excellent written and verbal communication skills.
Ability to interact effectively with students, faculty, staff, and patients. - Ability to supervise clinical dental assistants.
- Ability to work individually and in a team environment.
- Ability to transition from clinical to administrative duties daily.
This position may occasionally be required to work weekends.
