Executive Assistant – Office of the CCO

Planned Parenthood of Tennessee and North Mississippi (PPTNM) is one of Tennessee’s oldest and largest private, non‑profit health care agencies. Our mission is to improve health and well‑being by offering non‑judgmental sexual health care, accurate sexuality education, and reproductive health and rights advocacy.

We operate four health centers in Memphis, Nashville and Knoxville.

Job Summary

The Executive Assistant provides day‑to‑day administrative support to the Chief Clinical Officer (CCO) and assists the CCO’s department across the three locations. The role is on‑site, five days a week.

Essential Functions
  • Monitor and coordinate the CCO’s executive calendar.
  • Schedule and coordinate meetings, appointments and travel for the CCO.
  • Process travel expense reports for the CCO.
  • Ensure deadlines are met and assist with timeliness of tasks.
  • Prepare memoranda for the department regarding policies, procedures, and other issues as instructed by the CCO; establish and maintain a filing system for departmental communication.
  • Handle confidential matters.
  • Serve as communication liaison for the department—route critical requests and help establish executive priorities.
  • Plan department events, including negotiation with outside vendors as necessary.
  • Run basic reports from the patient database and prepare data presentations to assist decision‑making, grant reports, quality reports and ad‑hoc reporting requests.
  • Remind about upcoming licensure expirations for employed licensed staff.
  • Conserve executive time by handling e‑mail correspondence, drafting internal and external communications, collecting and analyzing information, dealing with logistics, and returning and scheduling phone calls and meetings.
  • Attend meetings, take notes and deliver meeting minutes with action items to team members.
  • Perform other duties as assigned to meet the goals of the department.

Job Requirements

Education:

Bachelor’s degree (BS or BA) or equivalent work experience is required.

Experience:

At least three years in an administrative support capacity.

Knowledge, Skills, and Abilities

  • Acceptance of a flexible work schedule, including occasional weekend and evening hours as necessary.
  • Valid driver’s license and insurance; ability to lift and carry 25 lb unassisted.
