Position Overview

As a Senior Practice Administrator your objective is to make sure that the clinical staff and Providers follow the Lifedoc guidelines and protocol as well as to maximize patient flow. This role is the main point of contact for Managers and their staff for the following departments:
Referrals, Front Desk, Community Health Worker, Patient Care Coordinator and Medical Assistants. This role will work closely with other operational and clinical departments as needed to effectively and efficiently accomplish the mission and vision of the organization.

What You'll Do Supervisory Responsibilities
  • Provide day-to-day leadership, guidance, and oversight to Managers and operational departments across clinic locations.
  • Oversee clinic and office workflows to ensure departments operate efficiently and effectively.
  • Evaluate Manager performance and provide recommendations regarding personnel actions, including performance management, development, promotion, discipline, attendance, compensation, and termination.
  • Partner with HR on recruitment, interviewing, selection, onboarding, and training of staff.
  • Promote employee engagement, recognition, professional development, and a culture of accountability and continuous improvement.
  • Address and resolve escalated employee, patient, operational, and clinical concerns.
Principal Duties and Responsibilities
  • Manage and coordinate the activities of multiple departments to support clinical, operational, financial, and organizational objectives.
  • Monitor departmental productivity, clinical outcomes, patient and employee satisfaction, and financial performance.
  • Analyze operational data and performance trends to identify opportunities for improvement and develop action plans.
  • Ensure compliance with organizational policies, procedures, and applicable healthcare regulations, including HIPAA, OSHA, and CLIA.
  • Identify and resolve operational and clinical issues that may impact the delivery of patient care.
  • Oversee facility operations, including maintenance, cleaning, and emergency services as needed.
  • Monitor expenditures, purchases, and other operational activities to ensure compliance with budget guidelines.
  • Promote effective communication and coordination between clinical and operational departments, including scheduling and workflow processes.
  • Support optimization of the EMR and other operational processes to improve efficiency and productivity.
  • Ensure clinical and operational staff remain aligned with the organization's mission, vision, and goals.
  • Provide counsel and support to Managers and staff while fostering accountability, collaboration, and continuous improvement.
  • Lead and participate in organizational projects and initiatives as needed.
  • May be required to address urgent patient or employee concerns outside of normal scheduled hours.
  • Perform other duties related to the operation of the clinics and offices as assigned.
What We're Looking For
  • Bachelor degree in healthcare required and higher degree in healthcare or Business Administration preferred
  • 5+ years of experience in a manaement/leadership role
  • 7+ years of experience working in an outpatient clinic setting
  • Clinical background in training and administrative skills are a must
  • Proficient in Microsoft Office Suite with proved ability to learn new software quickly Hold a current and active driver's license with at least 5 years of driving experience
  • Proficientcy in claim analysis, reporting, and management principles are required.
  • Excellent verbal and written communication skills; able to effectively communicate with all levels of an orgnaization
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
