The Memphis Area Transit Authority (MATA) is seeking an experienced Benefits Coordinator to support the day-to-day administration of employee and retiree benefits and coordinate employee health and wellness initiatives. This position is an in-office role based in Memphis, TN, and does not offer remote or hybrid work.
This is a hands-on role for a benefits professional who is highly organized, detail-oriented, comfortable working across multiple systems, and committed to providing excellent service to employees. The Benefits Coordinator will play an important role in ensuring benefits are administered accurately and in a timely manner while also helping improve processes as MATA continues to modernize its HR technology and operations.
KEY RESPONSIBILITIES:- Coordinate the day-to-day administration of employee and retiree benefit programs, including medical, dental, vision, supplemental benefits, flexible spending accounts, and other applicable voluntary benefit programs.
- Process benefit enrollments, changes, terminations, qualifying life events, and other benefit transactions.
- Serve as a primary resource for employees and retirees regarding benefit eligibility, enrollment, coverage, deductions, and related questions.
- Partner with Payroll to ensure benefit deductions are accurate and resolve discrepancies.
- Reconcile benefit enrollment records, payroll deductions, carrier records, and vendor invoices.
- Coordinate operational aspects of annual open enrollment, including employee communications, enrollment activities, vendor coordination, tracking, and post-enrollment reconciliation.
- Present benefit information during new hire orientation and monitor timely enrollment of new employees.
- Coordinate MATA's employee health and wellness program, including wellness events, health fairs, screenings, educational programs, and employee engagement activities.
- Partner with benefit carriers, brokers, vendors, and community partners to maximize wellness and educational resources available to employees.
- Maintain accurate benefit information across HR, payroll, carrier, and vendor systems.
- Produce recurring benefit reports and support HR data and reporting needs.
- Participate in HR technology implementation, testing, data validation, and process improvement initiatives as MATA continues to modernize its HR systems.
- Identify opportunities to reduce manual processes, improve accuracy, strengthen controls, and enhance the employee benefits experience.
- Maintain appropriate confidentiality and support compliance with applicable benefit and privacy requirements.
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred; relevant experience may be considered in lieu of a degree.
- Three to five years of progressively responsible HR experience with significant experience in employee benefits administration.
- Strong working knowledge of employee benefits and applicable requirements, including HIPAA, COBRA, ACA, ERISA, and ADA.
- Experience with benefit reconciliation, payroll deductions, carrier/vendor systems, and benefits-related data.
- Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
- Ability to manage multiple priorities and recurring deadlines in a high-volume environment.
- Strong customer-service orientation and ability to communicate complex benefit information clearly.
- Experience working with HRIS, payroll, benefits administration, or carrier systems.
- Proficiency in Microsoft Office, particularly Excel.
- Ability to maintain confidentiality and handle sensitive employee information appropriately.
- Experience coordinating employee health, wellness, or benefits education programs is preferred.
- Experience working with a unionized workforce is preferred.
- Public-sector or transit experience is a plus.
The successful candidate will bring a strong sense of ownership and follow-through to the role. You will be expected to maintain accurate benefits data, meet critical deadlines, resolve employee and vendor issues promptly, complete reconciliations in a timely manner, provide excellent employee service, and help us continuously improve how benefits are delivered.
Starting salary will be determined based on relevant experience, qualifications, and internal equity.
