- Address employees queries regarding office management issues (e.g. stationery, hardware, and travel arrangements)
- Coordinate with IT department on all office equipment
- Assist in the onboarding process for new hires
- Ensure that all items are invoiced and paid on time
- Liaise with facility management vendors, including cleaning, catering, and security services
- Maintain the office condition and arrange necessary repairs
- Manage contract and price negotiations with office vendors, service providers, and office lease
- Manage office G&A budget, ensuring accurate and timely reporting
- Organize office operations and procedures
- Organize the office layout and order stationery and equipment
- Partner with HR to update and maintain office policies as necessary
- Plan in-house or off-site activities such as parties, celebrations, and conferences
- Provide general support to visitors
- Schedule meetings and appointments
- Serve as the point person for maintenance, mailing, supplies, equipment, bills, errands, and shopping
Qualifications
- Working knowledge of office devices and processes
- Very good organizational and multi-tasking abilities
- Very good knowledge of MS Office
- Proven experience as office clerk or other clerical position
- High school diploma
- Familiarity with office procedures and basic accounting principles
- Excellent communication skills
- A fast typist with knowledge in stenography and taking dictations
Job Highlights
- Position is 100% Onsite Monday - Friday
- 3+ years of experience in an administrative, office operations, workplace experience, and front desk–focused role
- Experience working in a fast-paced, high-growth, or tech/startup environment.
- Experience supporting multiple stakeholders (front desk duties, executives, EAs, facilities, events, and cross-functional teams)
- Comfortable handling confidential information with discretion and sound judgment
- Strong customer service mindset with experience acting as a primary point of contact as well as overseeing office security protocols
- Ability to manage competing priorities and shift focus quickly as business needs change
- Someone who is a self starter that has high attention to detail and excellent communication skills.
Compensation
- $40 - $45 /hour Pay Rate
