Responsibilities

  • Address employees queries regarding office management issues (e.g. stationery, hardware, and travel arrangements)
  • Coordinate with IT department on all office equipment
  • Assist in the onboarding process for new hires
  • Ensure that all items are invoiced and paid on time
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Maintain the office condition and arrange necessary repairs
  • Manage contract and price negotiations with office vendors, service providers, and office lease
  • Manage office G&A budget, ensuring accurate and timely reporting
  • Organize office operations and procedures
  • Organize the office layout and order stationery and equipment
  • Partner with HR to update and maintain office policies as necessary
  • Plan in-house or off-site activities such as parties, celebrations, and conferences
  • Provide general support to visitors
  • Schedule meetings and appointments
  • Serve as the point person for maintenance, mailing, supplies, equipment, bills, errands, and shopping

Qualifications

  • Working knowledge of office devices and processes
  • Very good organizational and multi-tasking abilities
  • Very good knowledge of MS Office
  • Proven experience as office clerk or other clerical position
  • High school diploma
  • Familiarity with office procedures and basic accounting principles
  • Excellent communication skills
  • A fast typist with knowledge in stenography and taking dictations

Job Highlights

  • Position is 100% Onsite Monday - Friday
  • 3+ years of experience in an administrative, office operations, workplace experience, and front desk–focused role
  • Experience working in a fast-paced, high-growth, or tech/startup environment.
  • Experience supporting multiple stakeholders (front desk duties, executives, EAs, facilities, events, and cross-functional teams)
  • Comfortable handling confidential information with discretion and sound judgment
  • Strong customer service mindset with experience acting as a primary point of contact as well as overseeing office security protocols
  • Ability to manage competing priorities and shift focus quickly as business needs change
  • Someone who is a self starter that has high attention to detail and excellent communication skills.

Compensation

  • $40 - $45 /hour Pay Rate
