GMI Solutions is a manufacturing business in Mequon, WI 53092. Many of our customers are in the medical equipment market. The builds are used in x-ray machines, CT scanners, dialysis and radiotherapy cancer treatment systems. Under the direction of the President, we’re seeking a proactive, detail-oriented Executive & Office Operations Assistant to support our Executive, Sales, Marketing, and HR teams. This part-time role is ideal for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and takes pride in creating a well-run, welcoming workplace. From coordinating travel and events to maintaining office supplies and supporting customer visits, you’ll be a key player in keeping our operations smooth and our culture strong.

ESSENTIAL DUTIES AND RESPONSIBILITIES OF EXECUTIVE ASSISTANT Executive & Team Support
  • Provide administrative support to the Executive Management team
  • Coordinate meetings, prepare agendas, and track action items
  • Book travel and assist with trade show logistics
  • Support documentation updates and special projects
  • Assist with CRM maintenance and internal reporting
Office & Facilities Coordination
  • Maintain lunchroom and common areas (stocking supplies, cleaning counters, etc.)
  • Manage inventory and ordering of office supplies for MuL and GMI
  • Oversee stocking and shopping for conference room fridge
  • Track and replenish first aid supplies
  • Water office plants and maintain general office functionality
Event & Hospitality Support
  • Coordinate catering and setup/cleanup for customer/supplier visits
  • Support company events (lunches, happy hours, all-hands meetings)
  • Prepare hotel welcome baskets for visiting customers
  • Assist with customer appreciation efforts
HR & Culture Support
  • Help coordinate internal communications and HR-related tasks
  • Support onboarding logistics and Associate engagement initiatives
KNOWLEDGE,

SKILLS AND ABILITIES

REQUIRED OF EXECUTIVE ASSISTANT Qualifications
  • 1–3 years of experience in a similar administrative or operations role preferred
  • Proficiency in Microsoft Office, especially Excel and Outlook
  • Strong written and verbal communication skills
  • Highly organized, dependable, and able to work independently
  • Excellent time management and multitasking abilities
  • Discretion in handling sensitive information
Physical Requirements
  • Ability to lift and carry materials up to 30 lbs
  • Frequent walking, sitting, and use of hands for office tasks
  • Must be able to read printed materials and computer screens
  • Must be able to hear and speak clearly for in-person and phone communication
  • This position is factory-based and requires on-site presence in Mequon, WI
