About the JobUnder the supervision of the Assistant Director of Staffing, Training, and Development and in collaboration with the Executive Director of Administration and Organizational Development of AFI, the Custodian Admin will oversee administrative processes for the Auxiliary Custodial department, acting as the primary contact and liaison with campus entities. The role supports AFI Administrative special projects and works to identify efficiencies in a 24/7 operation.
Key Responsibilities- Implement processes to support employee absences and communicate operational coverage.
- Oversee annual shift bidding and shift assignments.
- Lead discussions on shift bidding procedures.
- Liaise with AFI Administration on position requests and recruitment.
- Coordinate with campus partners for smooth operations.
- Engage in continuous process improvement.
- Maintain staff rosters and update seniority lists with HR.
- Develop and document SOPs for administrative tasks and business processes.
- Streamline processes to support departmental operations.
- Conduct regular process improvement meetings.
- Ensure compliance with campus and audit processes for personnel documentation and inventory.
- Create and oversee training and project schedules.
- Communicate training plans and suggest improvements.
- Ensure proper documentation of training materials and compliance.
- Facilitate discussions with vendors and health & safety staff.
- Procure supplies and equipment for departmental productivity.
- Support contract routing processes.
- Act as primary point of contact for the Housing Custodial team.
- Develop and maintain SOPs and guidelines.
- Assist with daily administrative needs.
- Plan, monitor, and evaluate multiple complex projects.
- Collaborate with stakeholders to ensure smooth execution.
- Maintain accurate records and provide project outcome reports.
- Monitor progress to align with departmental goals.
- Participate in departmental discussions on support needs.
- Address inquiries and provide professional solutions promptly.
- Build positive relationships with colleagues, students, staff, and faculty.
- Coordinate with campus units for smooth operations.
- Collaborate with stakeholders to ensure task execution.
Education and Requirements:
- High school diploma, GED, or equivalent.
- Three (3) years of administrative/clerical experience, OR
- Associate’s degree and one year of administrative experience, OR
- Bachelor’s degree and administrative experience.
- Customer‑focused approach to inquiries.
- Experience in administrative operations, preferably in higher education or public sector.
- Collaboration with campus departments and diverse stakeholders.
- Excellent organizational skills with attention to detail.
- Ability to manage multiple projects in a fast‑paced environment.
- Experience with facilities teams administratively.
- Familiarity with relevant policies and procedures (preferred).
- Proficiency in word processing, spreadsheets, and database applications.
- Strong verbal and written communication, active listening, critical thinking.
- Discretion and confidentiality with sensitive information.
