Administrative Assistant - Southlake Mall

This position is based in Merrillville, IN; however, our company operates nationally, with a focus on large regional malls throughout the country.

Assisting the Administrative Assistant, you will perform front desk and administrative tasks while offering overall office support to the management team of a regional shopping center.

To succeed, you should have:
  • Associate’s degree or higher is preferred.
  • Administrative/Office experience is preferred.
  • Knowledge of accounts payable processes.
  • Must have the ability to communicate effectively with customers, tenants, co‑workers, and ownership.
  • Solid knowledge of Microsoft Office, PowerPoint, and Excel.
Your responsibilities as the Administrative Assistant for Southlake Mall will include:
  • Assists various departments with office related tasks, including data entry, website assistance, sales collection, retailer memos, operational notifications, etc.
  • Assist with the preparation of contracts for the Operations Manager and GM.
  • Coordinate the tenant sales process, including collection, input, reporting, and billing.
  • Download daily cash receipts from the bank and enter them into the accounting program.
  • Regular follow‑up with tenants on open accounts receivable.
  • Assist in processing the management team’s expense reports.
  • Timely and regular processing of all invoices, including utility bills for the property, including making online payments and sending out checks.
  • Prepare insurance claim forms and work with the applicable insurance agency/claims adjuster to investigate incidents and manage the monthly reporting summary of open and closed claims.
  • Assist Operations in the RES utility reading data submission.
  • Serve visitors by greeting, welcoming, and directing them appropriately.
  • Inform visitors/callers by answering or referring inquiries.
  • Operate the telecommunication system by following the manufacturer’s instructions for house phone and console operation.
  • Maintain an expansive knowledge of Shopping Center stores, business hours, and other relevant property information.
  • Help maintain schedules of office team personnel and everyday area activities.
  • Maintain a safe and clean reception area by complying with procedures, rules, and regulations.
  • Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
