Medical Secretary

The post holder will provide a comprehensive and high quality secretarial and administrative support to the Consultant, doctors and other professionals within a specific department in the Paediatric directorate.

The post holder will be expected to liaise in a professional manner with colleagues, visitors and parents/guardians and undertake a wide spectrum of administrative and secretarial duties.

The post holder will be expected to manage and prioritise their own workload using experience and initiative. The post holder will work independently to provide secretarial and administrative office function, adhering to UHB policies and procedures.

Main duties of the job
  • Plan own day to day tasks and duties.
  • Undertake routine typing and audio typing of clinical correspondence.
  • Manage Consultant's diaries and or Doctor's.
  • Prioritise results, organise clinical activity.
  • Liaise with parents/guardians, General Practitioner and other Health Boards/Trusts to arrange ongoing treatment and care.
  • Play a supportive role with the running of the acute paediatric team.

Person Specification Qualifications
  • RSA/OCR Level III or equivalent level of knowledge, skills and experience
  • Good standard of education
  • Comprehensive knowledge of medical terminology
  • Knowledge of University Health Board procedures
  • Medical Secretary qualification e.g. AMSPAR
Experience
  • Previous experience in a secretarial/administration role.
  • Experience of working in a busy environment.
  • Ability to prioritise and manage own workload.
  • Knowledge of the Welsh PAS (Myrddin) system.
  • Experience of working in a hospital environment
  • Experience of supervising staff
Aptitudes and abilities
  • Excellent Keyboard and audio typing skills
  • Excellent communication and telephone skills
  • Able to deal with patients and relatives in a sympathetic manner.
  • Ability to deal with staff at all levels.
  • To support line manager when off site and to communicate any issues that may arise.
  • Setting up office systems
  • Ability to take shorthand.
