Job Summary

The Specialist – Related & Psychological Services supports district wide compliance, documentation accuracy, and procedural fidelity for related service disciplines, including school psychology, speech-language pathology, occupational therapy, physical therapy, adapted physical education, and assistive technology. The specialist provides technical assistance, conducts internal audits, monitors data systems, and collaborates with site teams and related services staff to ensure implementation of IDEA and Section 504 requirements.

This role focuses on maintaining high standards of legal compliance, accurate reporting, and continuous improvement within the specialized service areas.

Key Responsibilities
  • Compliance Monitoring & Data Quality:
    Conduct internal reviews of documentation for psychological, related, and assistive (Use the "Apply for this Job" box below). to ensure compliance with IDEA, Section 504, and ADE requirements.
  • Compliance with proportionate share and consultation requirements:
    Reviews documentation and maintains data related to IDEA services for private-school students, ensuring compliance with proportionate share and consultation requirements.
  • Service logs and evaluation records:
    Supports the monitoring of service logs and evaluation records for private school students receiving related services.
  • Audit MET/IEP and Medicaid documents:
    Audit multidisciplinary evaluation team (MET), Individual Education Program (IEP) service logs, evaluation reports, and Medicaid documentation for accuracy, timeliness, and completeness.
  • Data analysis for reporting:
    Compile and analyze data for district and state reporting; identify trends and areas for corrective action.
  • Training alignment:
    Partner with the Coordinator – Related & Psychological Services to align compliance findings with training, coaching, and procedural updates.
  • Corrective actions tracking:
    Track and monitor corrective actions or compliance alerts issued by ADE or internal audits.
  • Procedural Support & Technical Assistance:
    Provide technical support and consultation to school psychologists, speech-language pathologists (SLPs), occupational therapists (OTs), physical therapists (PTs), and assistive  regarding documentation and compliance requirements.
  • Procedures and templates:
    Maintain and update district procedures, templates, and guidance materials related to evaluations and related services documentation.
  • Documentation in IEP system:
    Support service providers in proper documentation within the IEP system (e.g., service logs, progress monitoring, evaluation uploads).
  • Policy interpretation:
    Collaborate with the Program Integrity team to ensure consistent interpretation of policy and compliance expectations.
  • Medicaid Oversight & Documentation Support:
    Review Medicaid documentation and submissions for accuracy and compliance with state and federal billing guidelines.
  • Training on Medicaid processes:
    Assist in training related services staff on Medicaid documentation processes and audit readiness.
  • Feedback on documentation:
    Provide ongoing feedback to staff and leadership on documentation quality and reimbursement integrity.
  • Training & Capacity Building:
    Develop and deliver training modules for related service personnel and site leaders on compliance updates, documentation expectations, and procedural safeguards.
  • Onboarding support:
    Support new staff onboarding for related services regarding compliance documentation and timelines.
  • System-wide consistency:
    Collaborate with Coordinators and Directors to ensure system-wide consistency in documentation and procedural standards.
  • Data & Reporting:
    Maintain and update databases or dashboards for compliance tracking within related services.
  • Reporting to leadership:
    Provide reports and summaries to the Director of Program Integrity & Evaluation and other leadership teams on compliance trends, corrective actions, and improvement initiatives.
  • ADE reporting support:
    Support ADE reporting and data verification processes for related and psychological services.
