Human Resources Generalist
Job DescriptionThe Human Resources Generalist plays a key role in supporting all core HR functions, including employee records management, compliance, recruiting, onboarding, benefits administration, training coordination, and employee relations across multi-site and multi-state operations. This position ensures HR processes run smoothly, supports leadership with accurate data and reporting, and helps foster a positive, engaged, and compliant workplace. The role requires bilingual Spanish proficiency and strong experience with Arizona labor laws and HR systems.
Responsibilities- Maintain accurate and compliant employee records, including personnel files, I-9 documentation, and benefits records.
- Support HRIS system management by performing data entry, generating reports, and tracking documentation to ensure data integrity and compliance.
- Perform HR-related data entry and produce reports to support HR operations, regulatory compliance, and leadership decision-making.
- Assist with full-cycle recruiting, including posting job openings, managing candidate communication, coordinating interviews, and supporting onboarding processes.
- Coordinate new hire onboarding, ensuring completion of required documentation and adherence to all compliance requirements.
- Ensure compliance with federal, California, and Arizona labor laws, including wage and hour regulations, E-Verify, and Cal/OSHA requirements.
- Track employee certifications, licenses, and required training documentation to ensure ongoing compliance.
- Assist with internal audits and prepare documentation for external compliance reviews.
- Administer and track employee benefits eligibility, ensuring timely enrollment and accurate recordkeeping.
- Provide employees with support and education regarding insurance plans and benefits packages.
- Assist with open enrollment processes, including employee communications, system updates, and individual employee support.
- Process and manage benefit changes related to qualifying life events and special enrollments.
- Train and support supervisors on HR systems for performance management, employee documentation, and policy acknowledgments.
- Ensure accurate tracking of employee performance reviews, disciplinary actions, and performance improvement plans.
- Serve as a point of contact for employee HR-related questions and provide timely, professional support.
- Support employee relations matters by gathering information, documenting issues, and escalating concerns as appropriate.
- Assist with translation of HR materials and communications for Spanish-speaking employees, as needed.
- Coordinate scheduling and tracking of required training programs, including safety and compliance training.
- Maintain training records and monitor completion rates to ensure employees meet required training standards.
- Support Human Resources campaigns and initiatives that promote employee engagement, communication, and organizational culture.
- Plan and coordinate company events, including employee engagement activities and company-sponsored fundraising events.
- Provide administrative support to HR and operations teams, including scheduling meetings, preparing reports, and managing documentation.
- Support safety initiatives through tracking, coordination, and documentation of safety-related activities.
- Maintain strict confidentiality of sensitive employee information at all times.
- Identify opportunities for process improvements within HR systems and workflows to enhance efficiency and effectiveness.
- Perform other duties as assigned to support departmental and organizational needs.
- At least 35 years of progressive human resources experience, preferably supporting multi-site or multi-state environments.
- Bachelors degree in Human Resources, Business Administration, or a related field preferred, or equivalent experience.
- Bilingual proficiency in Spanish, with the ability to translate HR materials and communicate effectively with Spanish-speaking employees.
- Demonstrated working experience with Arizona labor laws and compliance requirements.
- Strong experience with HRIS systems, applicant tracking systems, and employee record management.
- Solid understanding of federal and state labor laws, including wage and hour regulations, E-Verify, and Cal/OSHA requirements.
- Ability to manage and maintain accurate employee records, including personnel files, I-9 forms, benefits documentation, and training records.
