Base pay range

$55,000.00/yr - $60,000.00/yr

The Licensing, Permitting, and Notary Compliance Specialist plays a key role in supporting regulated business operations by managing licensing, permitting, and notary processes from start to finish. This position works directly with clients, regulatory agencies, and internal leadership to ensure applications, renewals, and filings are accurate, timely, and compliant with all applicable state requirements. This role requires strong attention to detail, professionalism when handling sensitive information, and confidence working within regulated environments.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Additional duties which are necessary to carry out the function of this role may be assigned and are incorporated by reference into this job description.

  • Prepare, review, submit, and track licensing and permitting applications, including new applications and annual renewals
  • Coordinate directly with the Louisiana Video Gaming Division to ensure applications meet regulatory requirements and deadlines
  • Assist clients with video poker application processes, including ATC filings and renewals
  • Follow up with regulatory agencies and customers to resolve questions, deficiencies, or outstanding requirements
  • Perform notarial services in compliance with state laws and internal procedures
  • Verify client identification and maintain accurate notary logs and records
  • Obtain required signatures and notarize documents for submission to regulatory agencies
  • File permits and applications with various local and state agencies
  • Maintain electronic and physical filing systems, ensuring records are organized, complete, and secure
  • Scan, copy, file, and enter data related to licensing, permitting, and notarizations
  • Schedule appointments and manage walk‑in client activity
  • Assist with sales‑related transactions, transfers, stock transfers, and contracts from a notary and compliance standpoint
  • Maintain confidentiality of all sensitive business and personal information
  • Provide general administrative and compliance support to the Business Development Manager and department leadership

Qualifications and Experience

  • Active Louisiana Notary Public commission required
  • Experience working with licensing, permitting, regulatory filings, or compliance processes preferred
  • Prior experience interacting with government or regulatory agencies strongly preferred
  • Strong organizational and documentation skills
  • Comfortable working directly with clients in person, by phone, and via email
  • Ability to manage multiple applications and deadlines simultaneously
  • Professional demeanor and high attention to accuracy and confidentiality
  • Proficiency with scanning, electronic filing systems, and basic office technology

SUPERVISORY RESPONSIBILITIES:

Supervises management staff and personnel under training and consulting circumstances; no daily direct supervision of employees, but may direct any employee to perform any task related to compliance.

PHYSICAL DEMANDS:

The physical demands of this job include light physical activity performing activities of an administrative, productive and/or technical nature that must be met by the employee to successfully perform the essential functions of this job. The employee must regularly talk or hear and reach with hands or arms. The employee must frequently stand, walk, and use hands to touch, handle or feel.

The employee must occasionally sit, climb or balance, stoop, kneel, crouch or crawl and taste or smell. The employee must occasionally lift up 10 pounds and up to 25 pounds. Vision requirements for this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus. This position requires prolonged sitting at a desk and working on a computer.
