Customer Service Rep, Event Manager / Planner
Position Summary
The Concierge will work directly in the Concierge Office alongside the Chief Concierge, with a specialized focus on the Lifestyle component. This role is responsible for planning and executing activities, events, and parties, while staying informed about the local Miami Beach and greater Miami event and dining scene. The Concierge will ensure a superior social experience for the community, working closely with residents and on‑site staff to achieve this goal.
EssentialFunctions
- Event Planning and Execution:
- Schedule and organize complex activities such as meetings, special events, and property lifestyle programs.
- Assist in planning events by acquiring entertainment, caterers, decorations, and other necessary requirements.
- Ensure all events are within the approved budget and meet property standards.
- Resident Engagement:
- Build a high level of involvement by residents in all activities and special events.
- Be available to residents to answer questions, consider new ideas, and respond to social activity needs.
- Proactively develop and propose solutions to problems and anticipate the needs of members.
- Community Networking:
- Interact with local organizations to network and promote the community.
- Establish relationships with local merchants and service providers.
- Concierge Services:
- Greet guests in a friendly and courteous manner.
- Provide directions, restaurant suggestions, and arrange special requests for residents.
- Conduct all concierge services with integrity and professionalism.
- Administrative Duties:
- Maintain a reservation calendar and registration list for all activities, classes, and events.
- Coordinate and track important dates and meetings.
- Assist with producing minutes for Committee and Board Meetings.
- Create and coordinate monthly newsletters and update website information.
- Strong interpersonal, customer service, planning, and organizational skills.
- Problem Solving/Analysis, Leadership, and Teamwork Orientation.
- Communication Proficiency, both oral and written.
- Ability to multi‑task, set, and manage priorities.
- Creative, caring, and able to work under high‑pressure situations.
- This position operates in a luxury, high‑end residential community, both indoors and outdoors.
- The environment will be busy and loud during events, requiring the use of standard office equipment.
- The employee is required to sit, stand, reach, lift, bend, kneel, stoop, climb, push, and pull items weighing up to 30 pounds.
- Must have manual dexterity, auditory and visual skills, and the ability to follow written and oral instructions.
- This is a full‑time, non‑exempt position with a flexible schedule, including early mornings, late nights, and weekends.
- Minimal local travel is required for purchasing or renting equipment and attending meetings or training sessions.
Education and Experience
- Bachelor’s degree preferred.
- Minimum 3 years of experience in a related position, including 1 year in a social or recreational program.
- Knowledgeable with computer software programs, including MS Office Suite.
- Bilingual in Spanish may be required in some communities.
This role combines the responsibilities of a Lifestyle Director and a Concierge, ensuring a seamless and luxurious experience for residents while maintaining a vibrant and engaging community atmosphere.
