Accounts Payable Specialist

Description

We are looking for an experienced Accounts Payable Specialist to join a growing team in Miami, Florida in a contract opportunity with permanent potential. This role is ideal for someone who can step in immediately, stay organized under pressure, and manage a steady volume of invoice activity with accuracy and sound judgment. You will work in a fully on-site office environment where responsiveness, accountability, and strong vendor communication are essential to keeping payments on track.

Responsibilities:

- Handle the full accounts payable cycle, from invoice intake through final payment processing, while maintaining accuracy and timeliness.

- Review invoices against supporting documentation and purchase details to ensure proper matching and approval before payment.

- Enter and process a high volume of vendor invoices each month, keeping records complete and up to date within the accounting system.

- Reconcile vendor statements regularly, research discrepancies, and take ownership of resolving payment issues quickly.

- Maintain organized vendor files and ensure account information, payment terms, and documentation are current.

- Communicate directly with vendors to answer questions, follow up on outstanding items, and build reliable working relationships.

- Investigate unusual charges, incomplete billing details, or payment variances to confirm accuracy before release of funds.

- Use Yardi or a comparable property management/accounting platform to support daily accounts payable activities and reporting.

Requirements - At least 3 years of hands-on accounts payable experience, including ownership of full-cycle AP processes.

- Proven ability to work effectively in a fast-moving, high-pressure setting with changing priorities.

- Strong attention to detail and the confidence to question discrepancies or unclear billing information.

- Experience processing vendor invoices, maintaining vendor records, and reconciling statements accurately.

- Background using Yardi, Yardi Enterprise, Yardi Property Management, or related Yardi software is strongly preferred.

- Effective communication skills with the ability to manage vendor follow-up in a detail-focused and persistent manner.

- Availability to start immediately or within the current week is highly preferred.
