Project Administrative Assistant

Monday to Friday 9:00 AM – 5:00 PM
We are partnering with a nonprofit organization dedicated to empowering communities through programs that promote advocacy, education, and social impact.
In this role, you’ll support the Team Leader and Program Director in coordinating one of our key advocacy programs.
You’ll manage communications with partners, help track progress and outcomes, support event planning, and ensure all program documentation is accurate and up to date.

Program Coordination & Support
- Assist leadership with the daily management and execution of program activities.
- Serve as a communication link between OAA and local or international partners.
- Collect and organize data to support program monitoring and evaluation efforts.
- Track project milestones, deliverables, and deadlines to ensure timely completion.
- Prepare and maintain project files, work plans, reports, and financial records.
- Coordinate meetings, trainings, and events—handling logistics, agendas, and follow-up documentation.
- Collaborate with other departments to ensure program goals align with organizational priorities.
- Maintain professional and responsive communication with partners, staff, and external stakeholders.
- Draft and edit reports, presentations, and program summaries for internal and external audiences.
- Manage recordkeeping and ensure accurate documentation of program activities and outcomes.
- Support the preparation of briefing materials and deliverables for leadership review.
- Provide administrative and logistical support for program-related workshops, conferences, and trainings.
- Assist with event setup, participant coordination, and materials preparation.
- Document and summarize key outcomes or lessons learned from each activity.
- Bilingual proficiency (English/Spanish) required.
- 3+ years of experience supporting nonprofit or advocacy programs.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Excellent communication, writing, and interpersonal abilities.
- Proficient in Microsoft Office (Word, Excel, Outlook) and collaboration platforms (Teams, Zoom).
