Provides administrative and operational support to the Director of Facilities Construction in the daily management and coordination of office activities.
Responsibilities- Assists the Director and Assistant Director of Facilities Construction in the day‑to‑day management of the office, follows up on, and manages fiscal operational activities. Coordinates functions, meetings, conferences, appointment schedules, and records minutes for department‑related activities. Logs and archive records. Prepares and distributes agendas, coordinates logistics, attendance rosters, and prepares minutes of meetings. Maintains Construction unit contracts, files, documents, and other databases as required.
- Provides support in preparing requisitions using the Panther Financial System. Makes travel arrangements and all necessary reservations. Executes appropriate forms such as TARs and vouchers, completes follow‑up paperwork work to initiate the reimbursement of travel expenses for the Construction Unit and other administrators as required.
- Coordinates and expedites daily workflow and information. Receives and reviews correspondence for the Facilities and Construction Director, as well as data requests requiring immediate action. Uses initiative on matters requiring immediate attention.
- Assists the Director and Assistant Director of Construction, on occasion, and other Facilities Management Department administrators in preparation of reports to Vice Presidents and Executive Council members.
- Monitors, maintains, and approves bi‑weekly time reporting for all staff members on behalf of the Facilities Construction Director.
- Performs essential duties during any emergencies, such as hurricanes, storms and/or any other University emergency closing. Is expected to be available to report to work as needed during University emergency closings with appropriate notification by department administrator.
- Maintains Construction unit contracts, files, documents, and other databases as required.
- Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
High school diploma or GED and four (4) years of office or related experience providing administrative support, or coordinating functions of an office or department; OR an equivalent combination of relevant education and/or experience.
