Overview:
This is a temporary-to-permanent, full-time, on-site role with a strong focus on administrative support for our immigration team. The ideal candidate will have a background in administrative work, be detail-oriented, and possess the ability to run reports, utilize technology effectively, and manage multiple tasks simultaneously.
Responsibilities:
- Maintain and update immigration case files (digital and/or physical)
- Track and organize supporting documents (e.g., passports, I-94s, visas, degrees)
- Scan, copy, and submit immigration documents for attorney or government filing
- Maintain up-to-date records in Connect
- Archive closed or withdrawn cases per company policy within Connect and company share drives
- Monitor and mail the Receipt Notices, Approval Notices, and RFE notices from USCIS to the companies
- Set up reminders for key immigration milestones (e.g., H-1B max-out, extensions, green card stages)
- Communicate with employees to gather missing documents or information
- Schedule calls or meetings with attorneys, employees, or HR contacts
- Respond to routine inquiries from employees about immigration timelines
- Draft cover letters and email templates for consistent communication
- Assist with public access file (PAF) creation and maintenance
- Track delivery and receipt of mailed filings
- Book appointments for visa interviews or biometrics, if needed
- Add new users or employee profiles in internal case management software
- Trouble shoot system access issues (e.g., resetting passwords)
- Keep up-to-date Company contact information
- Run basic reports or exports
- Provide support to the team as required
Qualifications:
- Prior administrative experience required
- Strong attention to detail
- Ability to run reports and work with technology efficiently
- Excellent organizational and communication skills
- Available to work in-office full-time, Monday–Friday
