About the Role
Tax House Miami is seeking a professional, reliable, and highly organized Front Desk Receptionist to join our in‑office team. This key client‑facing role manages daily front‑desk operations, supports the tax and accounting team, and delivers exceptional customer service in a fast‑paced environment—especially during peak tax season.
Key Responsibilities- Greet clients and visitors professionally and ensure a positive first impression
- Manage a high‑volume, multi‑line phone system and direct calls appropriately
- Schedule, confirm, and manage client appointments using Google Workspace and/or Microsoft Office
- Assist with client intake, document collection, and basic file organization
- Perform accurate data entry, scanning, filing, and document review
- Handle client communications via phone, email, and in person with professionalism and discretion
- Send appointment reminders and follow‑up communications
- Assist with invoicing, payments, and basic Quick Books tasks (when applicable)
- Support administrative needs of tax preparers and accounting staff
- Maintain front office organization, supplies, and client records
- Uphold confidentiality and compliance standards related to tax and financial information
Skills & Qualifications
- Bilingual in English and Spanish (required)
- Prior experience in a tax office, accounting firm, or financial services environment is a strong plus
- Excellent customer service and professional phone etiquette
- Ability to work in person in a fast‑paced, deadline‑driven environment
- Strong organizational and time‑management skills
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Comfortable using office systems, scheduling tools, and multi‑line phone systems
- Experience with data entry, document handling, and client records
- Knowledge of Quick Books or bookkeeping is a plus
- Strong attention to detail and ability to multitask effectively
- In‑office position (not remote)
- Must be dependable, punctual, and able to handle high client volume during tax season
